Job Description
Behind a well-run week is someone who notices the scheduling conflict, finds the missing information, and makes sure an important commitment doesn’t disappear after a meeting.
Elmstead Business Services is looking for an Executive Assistant to support two senior leaders. You’ll manage the details that help them prepare, make decisions, and follow through. This role calls for discretion, sound judgment, and the confidence to ask questions when priorities compete.
You can work from anywhere in the United States. No office attendance or travel is required.
A week in this role
On Monday, you might reorganize a calendar around a changing deadline. Later in the week, you could prepare a meeting brief, coordinate a business trip, or follow up on outstanding action items.
Your ongoing responsibilities will include:
- Managing executive calendars across time zones and resolving scheduling conflicts.
- Coordinating internal meetings and calls with clients, partners, and vendors.
- Preparing agendas, gathering background materials, and recording decisions and next steps.
- Monitoring designated inboxes and drafting correspondence for review.
- Arranging business travel and preparing clear itineraries.
- Preparing expense reports through approved company systems.
- Maintaining organized documents, contact lists, and meeting records.
- Tracking commitments and reminding the appropriate people about deadlines.
- Handling sensitive business information with care.
What good support looks like here
You keep people informed without adding unnecessary messages. You can distinguish an urgent request from one that can wait. When plans change, you explain the options and help move things forward.
To succeed, you’ll need:
- At least three years of experience as an executive assistant or in a comparable administrative role supporting senior leaders.
- Experience managing complex calendars and coordinating across time zones.
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
- Strong writing, proofreading, and organizational skills.
- Experience coordinating business travel and expense reporting.
- The ability to work independently while confirming decisions that require approval.
- Reliable internet access and a private workspace.
- Residence in the United States and authorization to work in the United States.
Experience supporting more than one leader in a remote environment is helpful. A college degree is not required.
Clear hours and expectations
The annual base salary is $65,000–$85,000, depending on relevant experience and the complexity of previous executive support responsibilities.
The regular schedule is Monday through Friday, 9:00 a.m.–6:00 p.m. Eastern Time, including a one-hour unpaid meal break. This is a 40-hour workweek with no standing evening, weekend, or on-call requirement.
Business purchases and travel bookings are handled through approved company accounts. You will not be expected to advance personal funds for company expenses.
The position includes:
- A company-provided laptop and required software.
- 15 days of paid time off annually.
- 7 paid company holidays annually.
- Paid onboarding and job-specific training.
- Up to $500 annually for approved professional development.
