Job Description
CFM Equipment Distributors is seeking an experienced Senior Executive Assistant & Personal Assistant to provide high-level support to our company owner across both business and personal responsibilities.
This is not a traditional administrative support position. We are looking for a seasoned professional who can operate with a high degree of independence, anticipate needs before they arise, exercise sound judgment, and confidently manage competing priorities in a fast-paced environment.
The right person will become a trusted extension of the owner, helping protect their time and attention so they can remain focused on the activities that have the greatest impact on the business.
What You’ll Do
Your primary focus will be supporting the owner’s business responsibilities, including:
- Independently managing and prioritizing a complex calendar, including resolving scheduling conflicts and coordinating preparation, travel time, and logistics
- Triaging emails and messages, identifying what requires immediate attention, drafting routine responses, and tracking outstanding items
- Coordinating business travel from beginning to end, including flights, lodging, transportation, itineraries, and last-minute changes
- Preparing and organizing meeting materials and ensuring commitments and action items are followed through
- Coordinating company events, off-sites, meetings, and visitor logistics
- Managing expense reports, invoice routing, reimbursements, important documents, and business records
- Serving as a professional first point of contact and representing the owner in routine administrative matters
- Coordinating projects, gathering status updates, scheduling check-ins, and maintaining shared trackers
- Building trusted relationships with internal and external stakeholders while appropriately serving as a gatekeeper for the owner’s time
Personal & Household Support
Approximately 20–30% of this position involves personal support, and candidates should be comfortable moving seamlessly between business and personal priorities.
Responsibilities may include:
- Scheduling personal appointments, reservations, and services
- Coordinating personal and family travel
- Scheduling and communicating with household vendors and service providers
- Coordinating vehicle servicing, registration, inspections, and maintenance
- Handling occasional errands, purchases, and gift sourcing
- Assisting with property-related scheduling and personal events
What Success Looks Like
You don’t wait to be told about every next step. You anticipate what is coming, identify potential problems early, and bring forward solutions.
You communicate proactively and keep important details from falling through the cracks. You can quickly move from coordinating an important business meeting to resolving a travel issue or handling a personal appointment without losing track of either.
Most importantly, you understand the level of trust that comes with supporting a business owner. Discretion and confidentiality are non-negotiable.
What We’re Looking For
- 5+ years of progressively responsible experience supporting an executive, business owner, founder, or principal in an Executive Assistant, Personal Assistant, or hybrid role
- Strong experience managing complex calendars, travel, email, and competing priorities
- Demonstrated ability to make decisions independently within established parameters
- Exceptional organizational skills and attention to detail
- Excellent written and verbal communication skills
- Professional judgment when interacting with employees, customers, vendors, and other external contacts
- Proven ability to handle sensitive business, financial, and personal information confidentially
- Strong proficiency with email, calendars, spreadsheets, task trackers, and other common productivity tools
- Ability to occasionally respond to time-sensitive matters outside standard business hours
- Valid driver’s license and ability to run occasional local errands
