Job Description

JRN 2671

We are seeking a bright, polished, and highly motivated Executive Assistant to support a Partner and Managing Director at a growing financial services firm in Newport Beach, CA. The ideal candidate is smart, coachable, curious, and highly adaptable, with the ambition to develop a long-term career within the business.

This person will help manage the day-to-day operations of the Newport Beach office, protect and optimize the executive’s time, coordinate events and meetings, and serve as a polished and welcoming face of the office. This role is ideal for someone who is excited to learn the business, leverage technology and AI to improve workflows, and take on increasing responsibility over time.

Responsibilities

  • Serve as the primary point of support for the Partner and Managing Director, managing his calendar, scheduling, and competing priorities.
  • Act as a thoughtful gatekeeper, protecting the executive’s time and ensuring meetings and commitments are appropriately prioritized.
  • Provide secondary administrative and scheduling support to another senior partner as needed.
  • Coordinate the day-to-day operations of the Newport Beach office and help ensure a polished, welcoming environment for employees, clients, investors, and visitors.
  • Serve as a friendly and professional first point of contact for guests visiting the office.
  • Plan and coordinate client, investor, and team events, including harbor boat outings, private dining experiences, and other off-site gatherings.
  • Manage investor relations communications and correspondence with the firm’s financial advisor network via Outlook.
  • Assist with expense management, including tracking and processing executive and office-related expenses.
  • Support meetings, calls, and other executive engagements by coordinating logistics, attendees, materials, and follow-up as needed.
  • Identify opportunities to leverage AI and other technology to streamline administrative processes and improve efficiency.
  • Take on additional projects and responsibilities as trust is established and the role evolves.
  • Maintain a high level of professionalism, discretion, organization, and judgment when working with sensitive business and financial information.

Qualifications

  • 2–5 years of professional experience in an Executive Assistant, administrative, operations, business support, or similarly relevant role.
  • Bachelor’s degree required.
  • Intelligent, highly coachable, and eager to learn with a genuine interest in financial services and investing.
  • Growth-oriented and motivated by the opportunity to build a career within a growing business rather than remain in a traditional, highly structured EA career path.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Polished, personable, and comfortable serving as the face of a professional office and interacting with senior executives, clients, investors, and visitors.
  • Excellent written and verbal communication skills.
  • Comfortable working in a fast-paced environment with shifting priorities and a high degree of autonomy.
  • Technologically savvy and comfortable using AI tools; excited to identify and implement new technologies to improve workflows.
  • Resourceful, proactive, and willing to take ownership rather than simply execute tasks as assigned.
  • Team-oriented, energetic, and highly collaborative.
  • Financially curious and excited to gain exposure to wealth management, private equity, venture capital, and the broader financial services industry.
  • High level of discretion, professionalism, and sound judgment.
