Job Description

About The Role:

The Crowd is excited to be partnering with a multidisciplinary, design-led architecture practice to find an Executive Assistant for its New York office. Working within a collaborative and creative environment, this position will provide dedicated support to the CEO while contributing to the smooth coordination of wider studio activities. This is a full-time position based in the office five days per week.

The ideal candidate will be a proactive and polished professional with experience supporting senior leadership and confidently managing competing priorities. From coordinating complex diaries and travel to preparing client correspondence and meeting materials, you will anticipate needs, exercise sound judgment, and keep important details moving forward. Strong communication skills, discretion, and a personable approach are essential for building relationships across the studio and with external contacts.

Our client offers medical, dental and vision coverage, a 401(k), paid parental leave, and commuter support.

Key Responsibilities:

  • Manage the CEO’s calendar, balancing client commitments, internal meetings, and changing priorities to ensure their time is used effectively.
  • Organize detailed travel itineraries, accommodation, transportation, and reservations, alongside expense reporting and credit card reconciliation.
  • Coordinate meetings from preparation through follow-up, including logistics, presentation materials, correspondence, and recording key actions.
  • Prepare and organize proposals, billing correspondence, and project administration documents, while tracking professional renewals and other recurring deadlines.
  • Act as a trusted point of contact for clients and colleagues, maintaining contact records and supporting studio events, wider administrative needs, and occasional personal requests.

Key Skills/Requirements:

  • At least 6 years of executive or administrative support experience, ideally supporting senior leadership within architecture, design, or a related professional services environment.
  • Excellent organizational skills, with the ability to anticipate requirements, manage multiple deadlines, and follow tasks through to completion.
  • Strong written and verbal communication skills, with a polished, approachable manner and confidence interacting with senior stakeholders and clients.
  • High levels of discretion, initiative, and sound judgment, with the ability to work independently and collaborate across teams.
  • Proficiency in Microsoft Outlook, Word, and Excel – familiarity with Adobe software is a plus.
