Job Description

The Executive Assistant will work closely with a Partner who leads a portfolio of corporate clients and co-chairs the firm’s Emerging Technologies practice. This is an opportunity to sit at the center of New York State policymaking, alongside colleagues who are driven by excellence and genuinely interested in the industries they represent, including technology, healthcare, energy, transportation, and financial services.

The role requires the ability to juggle competing priorities, exercise strong judgment, and stay organized in an environment that can change hourly. The successful candidate will be a trusted colleague who anticipates rather than reacts; is comfortable making decisions without complete information; can escalate the right things and handle the rest; and treats confidentiality as a professional obligation.

This role is based in our Albany office and requires regular in-office presence.

What You Will Own

Calendar and Priorities

  • Own a complex, frequently shifting calendar spanning client meetings, legislative meetings, and internal commitments, prioritizing appropriately and offering solutions to complicated scheduling and meeting-planning problems
  • Rebuild the day in real time when session activity disrupts the schedule
  • Serve as the single point of contact for scheduling across the Partner’s client and legislative relationships
  • Anticipate potential changes or shifts in priorities across competing demands
  • Prepare a daily brief covering priorities, conflicts, and open items
  • Coordinate travel and logistics end to end

Meeting and Event Coordination

  • Anticipate and manage end-to-end coordination for client meetings, legislative meetings, and firm events
  • Assemble and distribute briefing materials in advance so the Partner is prepared before each meeting
  • Manage invitation lists, RSVPs, and post-event follow-up

Communications and Client Support

  • Serve as first-line triage for incoming email and calls; route, handle, or escalate as appropriate
  • Proactively manage communication and respond to urgent inquiries from internal and external stakeholders on the Partner’s behalf
  • Draft routine correspondence for the Partner’s review
  • Format, proofread, and manage versions of memos, client updates, and proposals
  • Track client deliverables and drive them to completion, proactively following up on outstanding items
  • Maintain organized client files and meeting records

Client Intelligence Distribution

  • Own production and distribution of client-tagged news, press clips, and legislative alerts, matching items to the clients they affect and delivering on a consistent schedule
  • Maintain the client-to-issue tagging map so distribution stays accurate as the portfolio changes

Compliance and Contracting

  • Coordinate engagement letters, contracts, and signature routing with firm business staff
  • Assist in management of client procurement and supplier portals, purchase orders, and vendor documentation
  • Process and track expenses accurately and on time
  • Prepare all compliance filing materials for review and submission

Information and Process Management

  • Organize and compile materials to support presentations, pitches, and client meetings
  • Maintain a shared task and request intake so work assignments are visible without routing through the Partner
  • Conduct preliminary research on prospective clients from public sources and support proposal production
  • Provide innovative and practical improvements to administrative processes as the practice grows

Qualifications

Required

  • Three or more years supporting a senior executive, partner, or elected official; government, law firm, or professional services background preferred
  • Demonstrated ability to manage a demanding calendar with competing priorities and frequent disruption
  • Ability to manage multiple concurrent projects and deliver quality work to deadlines
  • Strong written and verbal communication; excellent proofreading
  • Exceptional attention to detail
  • Discretion, diplomacy, and excellent judgment; a high degree of integrity in handling confidential client, financial, and strategic information
  • High proficiency in a suite of tools, including all Microsoft products and Google Workspace, and comfort using Claude and other AI tools in daily work
