Job Description
Company: Catharos, Inc.
Location: Palo Alto, CA (hybrid), relocating to Oakland, CA (onsite)
Reports to: Head of Operations
About Catharos
Catharos is a Series A-funded stealth climate tech company developing a novel approach to direct air capture of CO₂, preparing to move from bench-scale validation to pilot-scale demonstration.
The Role
Catharos is hiring an Executive Assistant & Office Manager to support our CEO and leadership team and keep our office running. This is a hybrid role for someone who enjoys owning both high-touch executive support and the day-to-day details of a growing office. For the right person, there is a clear path to grow into a Chief of Staff position, helping the company build good structure and organization as it grows — business systems, operational excellence, and reliable execution.
Responsibilities
- Manage complex, fast-changing calendars for the CEO and leadership team, including scheduling with investors, partners, and candidates.
- Arrange travel and prepare expense reports for the executives you support.
- Plan and run logistics for board meetings, investor sessions, offsites, and team events.
- Own day-to-day office operations, including supplies, mail and shipping, guest reception, and catering for a growing onsite team.
- Coordinate interview scheduling and first-day onboarding logistics for new hires.
- Support the leadership team with meeting preparation, follow-ups, and ad hoc projects, handling confidential information with discretion.
Required Qualifications
- 4+ years of experience as an executive assistant, office manager, or in a similar role supporting senior leaders.
- Exceptional organization and follow-through across many simultaneous threads.
- Strong written and verbal communication with stakeholders at all levels.
- Sound judgment and discretion with confidential business and personnel information.
- Comfort building structure and process in an environment where little exists yet.
- Ability to work onsite in Palo Alto one day a week initially, and full-time onsite in Oakland once our next facility opens.
Strongly Preferred Qualifications
- Experience at an early-stage or venture-backed startup.
- Experience supporting multiple executives simultaneously.
- Experience planning board meetings, investor events, or offsites.
- Experience coordinating recruiting logistics and candidate scheduling.
- Ambition to grow into a Chief of Staff role and take on broader operational ownership.
Compensation
- Competitive salary and equity commensurate with experience. Details discussed during the interview process.
