Job Description

Company Overview

Imagine a piloted air taxi that takes off vertically, then quietly carries you and your fellow passengers over the congested city streets below, enabling you to spend more time with the people and places that matter most. At Joby, we’ve been working to make that dream a reality since 2009 and we’re now in the final stages of certifying our aircraft with the FAA. With plans to launch our aircraft in the US and Dubai, we’re now scaling manufacturing and preparing for the launch of our commercial service.

Overview

Joby Aviation is seeking an experienced, proactive, and collaborative Executive Assistant to provide complex administrative and project management support to our Chief People Officer (CPO) and the broader People Team leadership. The ideal candidate operates with high autonomy, exceptional organizational skills, and sound judgment in a fast-paced, rapidly evolving environment. Serving as a central operational partner, you will anticipate executive needs, streamline communication, manage shifting priorities, and drive administrative deliverables with high accuracy and discretion.

This is a full-time, on-site position based at our corporate headquarters in Santa Cruz

Responsibilities

  • Executive Calendar & Agenda Management: Manage and optimize daily calendars for the CPO, anticipating needs, resolving scheduling conflicts, and prioritizing engagements in response to rapidly shifting priorities
  • Executive Preparation & Priority Tracking: Proactively coordinate with meeting owners and attendees to confirm agendas and gather pre-read materials ahead of time, ensuring the CPO is thoroughly prepared; track and communicate key action items and operational priorities following calls and meetings
  • Functional Administrative Support: Provide administrative coordination to People Team functional leaders, including calendar alignment, meeting logistics, and materials preparation as needed
  • Travel & Expense Operations: Coordinate comprehensive travel logistics, itineraries, and accommodations for the CPO and high-priority guests; manage accurate and timely expense report preparation and submission
  • Visitor Hosting & Onboarding Support: Serve as a key representative by hosting visitors on-site and partnering with People Operations to support seamless onboarding experiences for new team members
  • Special Projects & Communication: Facilitate effective internal communications and lead ad hoc project assignments with high initiative and minimal oversight

Required

  • Minimum 8+ years of administrative or executive support experience
  • Minimum 4 years of experience supporting a VP-level leader in any size business, or a Director-level leader in a global organization
  • Demonstrated ability to prioritize executive calendars and exercise independent judgment when managing rapidly shifting priorities
  • Proven ability to work in a fast-paced, dynamic environment with high efficiency, accuracy, and attention to detail
  • Strong organizational and project coordination skills, with demonstrated ownership over complex or ambiguous tasks with little oversight
  • Excellent written and verbal communication skills with a track record of building strong relationships with internal and external stakeholders
  • Proven discretion and integrity when handling highly confidential or sensitive information.
  • High School diploma, GED, or equivalent practical experience

Desired

  • Bachelor’s degree or equivalent practical experience
  • Prior experience supporting executive leaders in technology, aerospace, engineering, or fast-growing enterprise environments
  • Proficiency with modern enterprise coordination tools (e.g., Google Workspace, Slack, Navan)
