About Thomsen Properties

Thomsen Properties is a growing property management company specializing in affordable housing, with approximately 30 mobilehome and RV communities throughout California.

Our Costa Mesa office supports a diverse portfolio of communities and a wide range of business functions, which means no two days are exactly the same. As we continue to grow, we’re looking for a capable and dependable professional who wants to grow with us.

The Opportunity

We are seeking a highly organized and detail-orientedOffice Assistantto join our Costa Mesa office.

The ideal candidate is comfortable working with numbers, documents, spreadsheets, and computer systems; can manage multiple priorities; and takes pride in producing accurate, complete work. We are looking for someone who can learn quickly, exercise good judgment, and become a reliable resource for the team.

What You’ll Do

  • Provide administrative support to multiple departments, including operations, accounting, and compliance.
  • Answer and direct incoming calls in a professional and helpful manner.
  • Perform accurate data entry and maintain company records and databases.
  • Organize and maintain physical and electronic files.
  • Assist with bookkeeping functions, including coding invoices, entering financial information, reconciling records, and maintaining supporting documentation.
  • Assist with accounts payable processing and other accounting-related administrative functions.
  • Prepare correspondence, reports, spreadsheets, notices, and other business documents.
  • Review documents and information for accuracy and completeness.
  • Assist with property management and compliance-related documentation and recordkeeping.
  • Coordinate with team members to obtain missing information, documentation, and approvals.
  • Support special projects and changing operational needs as they arise.
  • Help maintain efficient office procedures, systems, and workflows.
  • Perform additional administrative duties as needed.

What We’re Looking For

We’re looking for someone who is:

  • Highly organized: You can keep track of multiple assignments, deadlines, documents, and follow-ups.
  • Detail-oriented: You notice when something is missing, inconsistent, or doesn’t look right.
  • Comfortable with numbers: You don’t need to be an accountant, but you should be comfortable working with invoices, spreadsheets, basic reconciliations, and financial information.
  • Tech-savvy: You are comfortable learning new software and working across multiple computer systems.
  • Self-motivated: Once trained, you can take ownership of assignments and move work forward without needing constant direction.
  • A strong communicator: You communicate professionally and clearly by phone, email, and in person.
  • Adaptable: You can shift priorities when something urgent comes up without losing track of your other responsibilities.
  • Team-oriented: You are willing to step in, help solve problems, and support different departments when needed.
  • Dependable: Your team can count on you to follow through and complete assignments accurately and on time.

Previous administrative, bookkeeping, accounts payable, property management, or office experience is required. Experience with Microsoft Office, particularly Excel, Outlook, and Word, is also preferred.
