This position offers a competitive salary of $75,000-$100,000, depending on experience, and follows a hybrid schedule of 3 days in office and 2 work from home days. This is an exciting opportunity for a highly organized, proactive professional who thrives in a fast-paced startup environment and enjoys taking ownership of both executive support and office operations. This individual will work closely with the CEO and leadership team while helping maintain an organized, efficient, and collaborative Chicago office environment. This position offers a comprehensive benefits package, including 401(k), medical, dental, vision, and life insurance, paid time off (PTO), and an Employee Assistance Program.

Responsibilities of the Executive Assistant / Office Manager:

  • Manage the CEO’s calendar, scheduling, and inbox while proactively prioritizing meetings and competing demands.
  • Coordinate travel arrangements and expense reporting.
  • Support the C-suite and leadership team with meetings, dinners, offsites, and other company events.
  • Serve as the primary point of contact for the Chicago office and manage day-to-day office logistics.
  • Coordinate with IT and office partners on needs including conference room technology and equipment.
  • Maintain an organized and welcoming shared office environment.
  • Identify opportunities to improve processes, increase efficiency, and bring structure to a fast-moving organization.
  • Partner cross-functionally with team members to support company priorities and business initiatives.
  • Assist with future office expansion or relocation projects as the company continues to grow.
  • Provide additional administrative and operational support to the CEO and leadership team as needed.

Qualifications of the Executive Assistant / Office Manager:

  • Strong Microsoft Office skills are required.
  • Previous experience supporting executives, managing office operations, or providing high-level administrative support is preferred.
  • Excellent organizational skills with strong attention to detail and follow-through.
  • Proactive, resourceful, and comfortable taking ownership without constant direction.
  • Strong written and verbal communication skills with a highly professional demeanor.
  • Comfortable working in a startup or entrepreneurial environment where priorities can shift quickly.
  • Strong culture fit with a positive, collaborative, and team-oriented mindset.
  • Growth-oriented individual who is excited to learn, take on new responsibilities, and grow with the company, even as the long-term path of the role continues to evolve.
  • Ability to manage competing priorities and adapt quickly to changing business needs.
  • Comfortable supporting a remote-based CEO who regularly travels to Chicago.
  • Flexible and willing to be onsite Tuesday–Thursday during designated in-office weeks and extend onsite time when business needs require.
  • Demonstrated ability to collaborate effectively and work across teams.
  • Comfortable operating in an environment that values ownership, initiative, flexibility, and getting things done.
