Job Description

Executive Personal Assistant / Office Manager – Hybrid Venture Capital Firm (SoHo) – $125-150k+B

A successful investment firm is seeking a highly capable Executive Assistant / Office Manager to join its New York City team. This is a dynamic, high-touch role supporting two senior Partners, with the majority of the position focused on the firm’s Founder/Managing Partner, while also taking ownership of the overall office environment.

The position is ideal for an experienced assistant who thrives in a fast-moving setting, enjoys wearing multiple hats, and is equally comfortable managing a demanding executive schedule, handling sensitive personal matters, coordinating special projects, and making sure the office is running seamlessly.

The Founder has a wide range of professional commitments and relationships across the investment and entrepreneurial communities, so this person will need to be exceptionally organized, thoughtful, and proactive. The strongest candidate will be someone who naturally thinks ahead, understands how to prioritize without constant direction, and takes real ownership over both large projects and the smaller details that keep an executive’s day moving efficiently.

This is a hybrid role, working 3 days in the firm’s SoHo based office and 2 days remotely.

Responsibilities:

  • Manage complex calendars for senior Partners, including frequent changes, competing priorities, and time-sensitive requests
  • Coordinate meetings with investors, executives, founders, business partners, and other external contacts
  • Ensure executives are prepared for important meetings by organizing relevant materials, background information, and key details in advance
  • Manage domestic and international travel, including transportation, accommodations, reservations, itineraries, and last-minute adjustments
  • Draft and coordinate email correspondence, introductions, follow-ups, and other communications
  • Keep track of outstanding requests, commitments, introductions, and follow-up items
  • Assist with a broad range of special projects and research assignments
  • Support the planning and coordination of firm meetings, dinners, investor events, conferences, and other gatherings
  • Handle personal scheduling, appointments, reservations, purchases, travel, and other administrative needs for the Founder
  • Coordinate apartment and household-related projects, including repairs, renovations, vendors, deliveries, and building access
  • Work with contractors, service providers, designers, building staff, and other outside vendors as needed
  • Oversee the day-to-day office environment, including supplies, food and beverage, maintenance, vendors, deliveries, and general upkeep
  • Ensure conference rooms, common areas, and the broader office are organized and prepared for employees and guests
  • Manage executive expenses, receipts, reimbursements, renewals, and other administrative items
  • Step in on unexpected professional, personal, or office-related matters and independently work toward a solution
  • Handle confidential business and personal information with a high degree of discretion

Qualifications:

  • 5+ years of experience as an Executive Assistant, Personal Assistant, Office Manager, or in a similarly high-level support capacity
  • Experience supporting a Founder, Partner, senior executive, investor, or high-net-worth principal strongly preferred
  • Background within venture capital, private equity, investment management, financial services, technology, or another fast-paced professional environment is a plus
  • Strong calendar, travel, organizational, and project-management skills
  • Excellent written and verbal communication skills
  • Comfortable drafting correspondence and communicating with senior-level internal and external stakeholders
  • Highly proactive with the ability to anticipate needs and operate independently
  • Strong judgment and the ability to prioritize effectively when multiple matters are moving at once
  • Resourceful and solutions-oriented with strong follow-through
  • Comfortable handling a blend of business, personal, and office-management responsibilities
  • Polished, discreet, adaptable, and highly detail-oriented
  • Collaborative, low ego, and willing to pitch in wherever needed

Base Salary: $125k- $150k plus bonus, benefits, and 401k
