Job Description
Administration and Accounts Assistant
Permanent Part-Time (30 Hours Per Week) | Remote
Competitive salary, pro rata to 30 hours per week, commensurate with experience and qualifications.
We are a growing Criminal Defence Law Firm seeking an organised, proactive and detail-oriented Legal Administrative Assistant to support the day-to-day operations of our practice.
This is a varied role that combines administration, client service, accounts and operational assistance. You will work closely with the Principal and legal team to ensure matters progress efficiently, clients receive an exceptional experience, and the firm continues to operate smoothly as it grows.
This position offers approximately 30 hours per week with some flexibility in how those hours are worked. It may particularly suit someone seeking a professional role that aligns with standard school-day availability while still providing meaningful responsibility, autonomy and flexibility.
About the Role
This is not a traditional administration position.
You will play an important role in supporting both our legal team and the operational side of the practice. Your work will help ensure clients receive prompt communication, lawyers remain organised, financial processes run smoothly, and the firm continues to operate efficiently.
Your responsibilities will include (but are not limited to):
- Providing administrative support to lawyers and the Principal
- Managing client onboarding and early client communications
- Diary and workflow management
- Maintaining accurate electronic files and records
- Completing weekly payroll for a small team and regular accounts administration
- Processing invoices, payments and general accounts tasks (when required)
- Monitoring accounts and providing regular trust account updates
- Processing refunds, transfer of payments and monthly trust reconciliation
- Answering phone calls and booking conferences if the phone cannot be attended to by our firm’s Paralegal
- Liaising with external bookkeeping and accounting providers at times when required
- Assisting with the ongoing improvement of systems, processes and workflows
- Providing general operational support across the practice
About You
You are organised, dependable and take pride in producing high-quality work.
You enjoy creating order, solving problems and helping a team operate effectively. You can work independently, manage competing priorities and communicate professionally with clients and colleagues alike.
To be successful in this role, you will have:
- Previous administrative experience (desired)
- Experience with payroll
- Excellent organisational skills and strong attention to detail
- Strong written and verbal communication skills
- The ability to manage multiple tasks and deadlines
- Confidence working with technology and learning new systems quickly
- A professional, friendly and client-focused approach
Highly Desirable
- Completion of accounts administration or similar business-related studies
- Experience using Xero (though not necessary)
- Previous experience within a law firm or professional services environment
- Experience with payroll, trust accounting or financial administration
- Experience using legal practice management software such as Smokeball
