Job Description

Executive Assistant & Business Operations Coordinator
Transforming Teams | Centerville, Ohio
20–30 hours/week | Hybrid | Independent Contractor | $20–$30/hour

About the Opportunity

Transforming Teams is looking for an exceptional Executive Assistant & Business Operations Coordinator to work directly with Tim O’Neil, owner of Transforming Teams and Certified EOS Implementer.

We’re looking for more than a traditional administrative assistant. We want someone who can become a trusted right hand—someone who brings organization to a fast-moving entrepreneurial environment, takes ownership, creates an exceptional experience for clients, and continually looks for ways to take things off Tim’s plate.

The right person will be warm and relational, exceptionally organized, technology savvy and curious, resourceful, and strong at follow-through.

You don’t need to have “Executive Assistant” on your résumé. We’re more interested in maturity, judgment, initiative, client-service instincts, and your ability to figure things out.

What You’ll Do

  • Take significant ownership of Tim’s inbox and calendar, including scheduling, communication, follow-up, and protecting his time.
  • Help create an exceptional client experience, coordinating the details before and after client meetings and sessions.
  • Keep projects, commitments, deadlines, and open loops moving, including coordinating vendors and other resources.
  • Support the day-to-day operations and administration of Transforming Teams, Tim’s EOS practice, The Grove at 71, and related projects.
  • Coordinate travel, logistics, invoicing, occasional errands, and other administrative needs.
  • Support business development through research, networking opportunities, events, creative ideas, and follow-up. Tim will own sales conversations and closing new business.
  • Look for opportunities to use technology, software, automation, and AI to make the business more efficient.

Who We’re Looking For

You’ll likely thrive in this role if you are someone who:

  • Takes ownership without needing constant direction
  • Is exceptionally organized and dependable
  • Naturally closes loops and follows through
  • Is warm, personable, and service-oriented
  • Can manage multiple priorities without losing the details
  • Is comfortable learning new technology and software
  • Approaches unfamiliar problems with, “Let me figure this out”
  • Communicates clearly and professionally
  • Exercises good judgment and discretion with confidential information
  • Is comfortable respectfully reminding and holding a busy business owner accountable

Prior Executive Assistant experience is helpful, but not required. Relevant experience in operations, account management, client service, project coordination, office management, or similar roles may be equally valuable.

No specific college degree is required.

Schedule & Location

This is a 20–30 hour-per-week independent contractor opportunity based in Centerville, Ohio.

The role offers meaningful scheduling flexibility, with regular in-person collaboration at The Grove at 71 and the ability to complete much of the remaining work remotely.

Work will primarily occur during weekdays, with very occasional evening or weekend needs for special events.

Reliable transportation is required for occasional local errands and logistics.

Compensation: $20–$30/hour, based on experience and capabilities.
