Job Description

Helio is a privately owned real estate development and operations company with a growing portfolio of multifamily properties and active development projects in Los Angeles. We are seeking an exceptional Executive Assistant to provide high-level support to one of our Founders and help keep a fast-moving, growing organization operating smoothly.

The role offers unusually broad exposure to how businesses are evaluated, built and operated, touching real estate investment and deal evaluation, financial and operational projects, and legal services — making it an excellent opportunity for someone who is naturally curious and wants to learn across multiple disciplines.

This is not a traditional administrative position built solely around calendar management and scheduling. We’re looking for someone exceptionally sharp, organized, resourceful and trustworthy who can learn how an executive works, understand priorities quickly, take ownership and become increasingly valuable as trust develops.

Prior Executive Assistant experience is valuable but not required; we welcome candidates from executive support, business operations, real estate, legal or financial services, project management and other high-touch professional environments, provided you can demonstrate a high level of discretion, accuracy, judgment and follow-through.

This role is ideal for someone who enjoys being the person others rely on — the person who catches the detail everyone else missed, finds the answer, closes the loop and makes sure important things don’t fall through the cracks.

What You’ll Do

  • Conduct research related to real estate opportunities, market information, business matters, vendors and other special projects; verify sources and distill findings into concise summaries that support executive decision-making
  • Support research, document organization and coordination relating to contracts, attorneys, legal matters and business transactions
  • Manage and coordinate the Founder’s calendar, meetings and changing priorities
  • Prepare materials, gather information and ensure the Founder has what he needs ahead of meetings and decisions
  • Coordinate with employees, vendors, attorneys, investors and other external partners
  • Learn enough about adjacent business operations to provide temporary administrative and operational coverage when necessary
  • Handle confidential business, personnel and financial information with appropriate discretion
  • Provide limited personal support when directly connected to the Founder’s business schedule, including travel and calendar coordination
  • Take on increasing responsibility as knowledge of the organization and trust in the role grows

Who We’re Looking For

You are someone who:

  • Is extremely detail-oriented and takes accuracy very seriously
  • Is naturally resourceful and can receive an imperfect or abbreviated request, identify what is actually needed and move it forward
  • Works independently without micro-management and knows when something genuinely requires executive input
  • Communicates clearly, directly and concisely
  • Has strong judgment and knows how to handle sensitive information
  • Is comfortable working with a direct, fast-moving executive and shifting between unrelated priorities
  • Is confident communicating with people at all levels
  • Is dependable, low-ego and willing to help wherever you are useful
  • Enjoys learning and would be excited for the scope of the position to expand over time
  • Is looking for a long-term professional home where institutional knowledge and trust are valued

Qualifications

  • 5+ years of progressive professional experience in executive support, operations, project management, client services, legal/financial services, real estate, or another environment requiring exceptional organization, judgment and accountability
  • Demonstrated experience supporting senior executives, business owners, high-level clients or other demanding stakeholders
  • Proven ability to independently manage multiple competing priorities, deadlines and follow-ups
  • Strong research and critical-thinking skills, including the ability to investigate unfamiliar subjects, verify information and present useful conclusions
  • A professional history demonstrating reliability, accountability and reasonable tenure in prior positions
  • Two professional references will be required at the final stage of the interview process, including at least one former direct manager or employer
