Job Description
Executive Personal Assistant to Principal
Confidential - Downtown Manhattan
We are seeking an accomplished Executive Personal Assistant to support a high-profile Principal with a complex personal and professional schedule. This is an opportunity for an experienced assistant to take real ownership: bringing structure to a busy environment, improving how information flows, and ensuring the Principal can move through her day with confidence that the details are handled.
The ideal candidate is calm, capable, and highly self-directed. They know when to act independently, when to raise a question, and how to offer a better approach. They pair exceptional attention to detail with sound judgment, warmth, and the confidence to work effectively with a Principal who has high standards.
Key Responsibilities
Executive and personal support
- Manage the Principal’s personal calendar, appointments, engagements, and evolving priorities.
- Anticipate needs, identify conflicts early, and present clear solutions when plans change.
- Provide concise updates on upcoming commitments, outstanding decisions, and completed work.
- Handle personal requests and projects with discretion, urgency, and thorough follow-through.
Schedules, systems, and team coordination
- Own the systems used to manage calendars, requests, contacts, deadlines, and essential personal records.
- Establish practical processes that help the broader support team stay aligned and prevent details from being missed.
- Coordinate regularly with other assistants, caregivers, drivers, and service providers to keep schedules and logistics running smoothly.
- Manage the administrative side of children’s schedules, including school and activity communications, forms, deadlines, and information caregivers need for the day ahead.
Travel, events, and personal logistics
- Coordinate family travel, including bookings, itineraries, documents, shipments, and arrangements at each destination.
- Work with travel partners and the broader support team to ensure plans are communicated and executed accurately.
- Track travel memberships, passports, and renewal dates.
- Manage planning timelines for personal engagements and family events.
- Maintain important dates and coordinate gifts and cards from selection through delivery.
- Arrange appointments, reservations, tickets, and other personal needs.
What You Bring
- 10+ years of experience in executive and personal assistance, ideally supporting a high-profile individual or an executive with significant personal and family logistics.
- A track record of bringing structure to demanding environments and improving the way a support team works.
- Exceptional calendar management, organization, discretion, and follow-through.
- Mature judgment and a composed presence, especially when priorities shift or a problem needs immediate attention.
- The confidence to take initiative, make thoughtful recommendations, and communicate directly and respectfully.
- A collaborative, service-minded approach and an understanding of the care and precision required when coordinating family schedules.
This role is well suited to someone who enjoys being the person others can rely on: a steady partner who sees the full picture, solves problems early, and makes a complex day run smoothly.
