Job Description
Lance Lucas & Associates, LLC (LLA)
Part-Time Independent Contractor | $30–$40/hour | Remote/Hybrid
Do you understand mission-driven institutions—and are you the person who makes sure things actually get done?
Lance Lucas & Associates (LLA) is a strategy and implementation consulting firm working with executives, boards, higher education institutions, nonprofits and other organizations on initiatives that require more than good ideas—they require disciplined execution.
LLA works extensively with Historically Black Colleges and Universities (HBCUs) and other mission-driven institutions. We value professionals who understand—or have meaningful experience within—these environments and appreciate the history, culture, relationships and stakeholder dynamics that shape how the work gets done.
We are seeking an exceptional Executive & Project Support Specialist who is organized, responsive, technologically savvy and, most importantly, proactive.
This is not a traditional administrative assistant role.
We need someone who can support a fast-moving CEO and consulting team, manage priorities across multiple client engagements, use AI and technology to work smarter, and help ensure that commitments become completed deliverables.
You should naturally ask:
What happens next? Who owns it? When is it due? What is still outstanding? And what can I do to move it forward before someone has to ask me?
What You’ll DoExecutive & Administrative Support
- Coordinate meetings, scheduling and executive priorities.
- Prepare agendas, presentations, briefing materials, correspondence and professional documents.
- Capture meeting notes, decisions, action items, owners and deadlines.
- Follow up on commitments and outstanding items.
- Maintain organized electronic files and records.
- Anticipate deadlines, commitments and information needs.
- Communicate proactively when something is delayed, unclear or at risk.
Our goal is simple: fewer things should require the CEO to remember, chase or personally complete.
Project & Client Support
- Support multiple LLA client engagements and internal initiatives.
- Maintain project plans, accountability trackers and deliverable schedules.
- Translate meetings into documented next steps, owners and deadlines.
- Follow up on outstanding assignments and help drive them to completion.
- Prepare strong first drafts of presentations, reports, SOPs and other client materials.
- Conduct research and organize information for consultants.
- Keep project-management systems accurate and current.
- Identify approaching deadlines, gaps and items requiring attention.
- Help move work from discussion → decision → execution → completion.
You will not be expected to know everything. You will be expected to take ownership, ask good questions, figure out what comes next and follow work through to completion.
Events, Retreats & Special Initiatives
LLA supports executive meetings, board retreats, fundraising initiatives and signature events. Responsibilities may include:
- Maintaining master timelines and detailed event checklists.
- Coordinating invitations, registration, participants, speakers, sponsors and vendors.
- Preparing presentations and event materials.
- Supporting onsite execution when required.
- Tracking actions resulting from retreats and meetings.
- Managing attendance and stakeholder reconciliation.
- Tracking thank-you communications and follow-up.
- Supporting post-event reporting and analysis.
- Documenting lessons learned and completing project closeout.
At LLA, an event is not complete when the event ends.
Successful execution includes the follow-up, reporting, reconciliation, documentation, analysis and closeout that happen afterward.
AI Isn’t an Add-On Here
LLA is actively incorporating artificial intelligence into how we operate and serve clients.
We don’t simply want someone who knows how to use ChatGPT. We want someone who understands how to use AI to make an organization work better.
You should be comfortable using—and continually learning—AI and productivity tools to:
- Turn meeting transcripts and notes into organized summaries, decisions, action items and follow-up.
- Accelerate research and information synthesis.
- Develop strong first drafts of correspondence, presentations, reports and SOPs.
- Build project plans, checklists and repeatable workflows.
