Job Description
A useful assistant knows that accepting a meeting is only the beginning. The executive also needs the right context, a realistic schedule, and time to act on the decisions afterward. We are seeking an Executive Assistant in Los Angeles who can bring that level of care to daily business support.
This is an associate-level, full-time, on-site role. It involves calendar coordination, meeting preparation, correspondence, and confidential administration. It does not require years of senior executive support, but it does require relevant experience handling commitments for other people.
Protect the calendar and prepare the detail
- Review meeting requests, clarify their purpose, and resolve scheduling conflicts with guidance.
- Prepare briefing documents and confirm that attendees have the correct information.
- Coordinate approved travel arrangements and keep itineraries organized.
- Draft routine correspondence and flag messages requiring a decision.
- Assemble expense records and check receipts against the relevant submission requirements.
- Record agreed follow-up actions without distributing sensitive information unnecessarily.
Discretion belongs in the daily routine
You will have access to information that is not appropriate for general circulation. Verify recipients, follow document access rules, and ask before sharing uncertain material. Professional judgment also means recognizing when a request should go directly to the executive rather than being handled independently.
Relevant experience can take different forms
One to two years of administrative, scheduling, office coordination, or comparable support work is a useful foundation. Experience in a production office, professional services team, or other deadline-driven environment may translate well. A particular industry background is not essential.
You should write polished emails, manage a changing calendar, and keep accurate notes. Confidence with office software and the ability to prioritize competing requests are more important than an elaborate list of qualifications. A degree is not mandatory.
Show your judgment through your experience
The position is based in Los Angeles, California, and requires on-site attendance. Apply with a resume that explains whom you supported and the type of scheduling or administrative responsibility you held. Please do not include confidential material from previous employers.
Qualified candidates of all backgrounds are invited to apply through LinkedIn.
