TEAM NY is the largest and longest-standing company in this space! We are looking for a mission-driven contributor who wants to be part of something that matters.
ROLE SUMMARY
TEAM NY is seeking a highly organized and detail-oriented Executive Assistant to support the CEO. This is an exciting opportunity to work closely with senior leadership and play a key role in keeping the CEO’s calendar, priorities, meetings, and daily logistics running smoothly. You will serve as a trusted point of coordination across internal and external stakeholders while handling sensitive information with professionalism and discretion.
If you thrive in a fast-paced environment, enjoy bringing order to complex schedules and competing priorities, and take pride in staying one step ahead, we want to hear from you!
WHAT YOU’LL DO
- Own the CEO’s calendar and priorities: Prioritize and schedule meetings, protect focus time, resolve conflicts, anticipate needs, and ensure the CEO is prepared for each day.
- Coordinate meetings and follow-through: Prepare agendas and materials, confirm attendees, arrange meeting space or virtual links, capture action items when needed, and track decisions, deadlines, and follow-ups.
- Manage daily logistics: Arrange travel, transportation, meals, visitors, event details, and other day-to-day needs with accuracy and timely communication.
- Serve as a professional point of contact: Communicate clearly and respectfully on behalf of the CEO with stakeholders internally and externally.
- Prepare executive materials and support projects: Organize briefing notes, presentations, reports, correspondence, and other documents; gather information and coordinate special projects as needed.
- Maintain organized systems and confidential information: Create reliable trackers and routines for scheduling, communication, and follow-up while exercising discretion with sensitive business and employee information.
- Respond quickly and thoughtfully: Adapt to changing priorities, solve problems in real time, and escalate issues appropriately while remaining calm and professional.
WHAT YOU’LL BRING
- Education: Bachelor’s degree required.
- Experience: Experience in coordination, customer service, administration, operations, office management or a similar fast-paced environment is a plus.
- Organization and time management: Strong ability to manage competing priorities, stay ahead of details, meet deadlines, and maintain reliable follow-through.
- Communication and emotional intelligence: Excellent written and verbal communication, professional presence, active listening, and the ability to build trust with people at all levels.
- Judgment and responsiveness: Ability to assess urgency, make thoughtful decisions, remain flexible, and respond promptly to changing needs.
- Software proficiency: Proficiency in Microsoft Office or Google Workspace, calendars, video conferencing tools, spreadsheets, and collaboration platforms; ability to learn new systems quickly.
- Professional qualities: Detail orientation, discretion, reliability, initiative, positive problem-solving, and the ability to work independently and as part of a team.
- Language: Fluency in English is required. Bilingual in Chinese is a plus.
WHY JOIN TEAM NY
- Network: Be at New York’s fastest growing agency and part of a National Network.
- Growth: Join a growing organization with opportunities to learn, contribute, and build your career.
- Community: Work with a close-knit team that values empathy, respect, dignity, and friendship.
