Job Description

Executive Assistant to CEO

**Z Best Home Care, Inc. Brooklyn, NY** **Full-Time Monday–Friday, 9:00 AM–5:00 PM**

About the Role

Z Best Home Care is seeking a highly organized, resourceful, and trustworthy Executive Assistant to the CEO to serve as a key partner in keeping executive priorities, management follow-through, and office operations organized and moving forward.

This is more than a traditional calendar-management role. We are looking for someone who loves systems, organization, problem-solving, and execution—someone who can anticipate needs, protect the CEO’s time, handle sensitive matters with discretion, and ensure important commitments do not fall through the cracks.

The ideal candidate is warm and professional but also confident and persistent. You should be comfortable following up with senior leaders, solving problems independently, and taking ownership from request through completion.

What You’ll Do

  • Manage and strategically organize the CEO’s calendar, meetings, scheduling, and priorities.
  • Screen meeting requests and help protect the CEO’s time by identifying what requires executive attention.
  • Prepare meeting materials, take management and strategy meeting minutes, and track decisions and action items.
  • Follow up with directors and managers on behalf of the CEO to ensure agreed-upon targets and deliverables are completed.
  • Handle highly confidential executive, financial, employee, and business information with discretion.
  • Support office operations, including events, purchasing, supplies, vendors, and general office organization.
  • Maintain organized calendars and tracking systems for contracts, insurance renewals, annual audits, policies, and other recurring obligations.
  • Coordinate with vendors, attorneys, insurers, and outside organizations and follow up on outstanding matters.
  • Help improve administrative processes and develop systems that make the CEO and organization more efficient.
  • Support performance tracking, management reports, graphs, dashboards, and special projects based on experience and technical ability.

What We’re Looking For

  • 3+ years of relevant experience in executive support, operations, office management, legal administration, HR, project coordination, or a related role.
  • Exceptional organizational skills and attention to detail.
  • Demonstrated experience creating or improving administrative processes and systems.
  • Strong judgment and the ability to determine what requires executive attention.
  • Excellent follow-through—you are persistent and comfortable holding others accountable for deadlines.
  • High level of discretion, integrity, and professionalism.
  • Strong problem-solving skills and the ability to find solutions independently.
  • Excellent written and verbal communication skills.
  • Strong computer and software skills, including Microsoft Office.
  • Comfortable learning new technology and systems quickly.
  • Highly coachable, adaptable, and receptive to feedback.
  • Motivated by responsibility, professional growth, and doing excellent work.

Strongly Preferred

  • Legal experience—including legal administration, paralegal, contracts, compliance, or law firm experience.
  • Home care or healthcare experience.
  • Advanced technology, systems, IT, reporting, automation, or data experience.
  • Contract and vendor management experience.
  • Spanish, Russian, and/or Cantonese language skills.

What Success Looks Like

You make the CEO and the organization more organized, productive, and effective.

Meetings result in action. Commitments are tracked. Managers are followed up with. Contracts and renewals stay organized. Problems come with solutions. And when something important is placed in your hands, it gets followed through to completion.

Compensation: $70,000–$80,000 annually, based on experience and qualifications.

Pay: $70,000.00 - $80,000.00 per year
