Executive Assistant

BioReset Medical is a leading regenerative and functional medicine practice, offering advanced longevity science, chronic illness therapies, and pain management treatments within a concierge-level care environment. We are seeking a highly organized and proactive Executive Assistant to support one of our concierge physicians in a fast-paced, high-end practice at our Campbell, CA clinic.

Schedule: Monday–Friday, 9:00 AM–6:00 PM

Key Responsibilities

• Manage the physician’s calendar to oversee scheduling and maximize daily efficiency.
• Monitor the physician’s email, texts, and interoffice chats to ensure patient-related tasks are properly tracked and completed.
• Respond to patient inquiries via phone and email in a timely, professional manner.
• Serve as the physician’s liaison with senior management, other physicians, and staff.
• Oversee and coordinate Medical Assistants across various projects on the physician’s behalf.
• Handle confidential information with the utmost discretion and professionalism.
• Partner with the Concierge Coordinator to support onboarding of new concierge patients and manage VIP client relations.
• Develop and maintain polished presentations, ensuring all materials are completed on schedule.

Qualifications

• 3+ years of experience as an Executive Assistant, ideally supporting a physician, executive, or other high-level professional.
• Exceptional organizational and time-management skills, with strong attention to detail.
• Excellent written and verbal communication skills.
• Demonstrated ability to thrive in a fast-paced, dynamic, and evolving environment.
• Sound judgment and discretion when handling sensitive or confidential information.
• Tech-savvy, with proficiency in scheduling tools and standard office software, including Google Workspace (Docs, Sheets, Slides, Calendar, Gmail).
• Proven ability to create polished, professional presentations.
• A refined, high-end client service demeanor suited to a concierge practice.
• Self-motivated, with the ability to work autonomously and anticipate the needs of a busy concierge physician.
• Genuine interest in functional medicine and pain management.
