Job Description
We’re looking for an exceptional Executive Assistant to support a high-profile, creative-forward CEO operating in a fast-paced entertainment and digital media environment.
This is not a traditional administrative role. We’re looking for someone who can become a true right hand to the CEO — highly organized, proactive, discreet, resourceful, and capable of keeping up with an unpredictable schedule and rapidly changing priorities.
The ideal candidate is someone who can bring structure to a creative environment without slowing it down.
What You’ll Do
- Own and manage the CEO’s calendar, meetings, appointments, and day-to-day schedule.
- Prioritize incoming requests and protect the CEO’s time and attention.
- Coordinate meetings across internal teams, external partners, talent, clients, and executives.
- Manage travel, reservations, transportation, itineraries, and other logistics.
- Handle highly confidential business and personal information with complete discretion.
- Track important conversations, deadlines, commitments, and follow-ups to make sure nothing falls through the cracks.
- Prepare the CEO for meetings by organizing relevant information, notes, schedules, and materials.
- Communicate directly with employees, partners, vendors, talent, and other high-level contacts on behalf of the CEO.
- Help organize both professional and occasional personal logistics when necessary.
- Anticipate problems before they happen and find solutions without needing constant direction.
- Take messy ideas, conversations, or requests and turn them into clear next steps.
- Be available to adapt quickly when schedules, priorities, shoots, meetings, or travel plans change.
Who We’re Looking For
You are:
- Extremely organized and naturally detail-oriented.
- A strong communicator who can represent the CEO professionally.
- Comfortable working around high-profile individuals and confidential information.
- Proactive — you don’t wait to be told about every small thing that needs to happen.
- Resourceful and capable of figuring things out independently.
- Calm when plans change or multiple things are happening at once.
- Highly responsive and dependable.
- Comfortable working with a CEO who thinks creatively, moves quickly, and may jump between multiple projects throughout the day.
- Good at understanding what is actually important versus what can wait.
- Someone with excellent judgment who knows when to make a decision independently and when to escalate something.
- Comfortable operating in an environment that is significantly more fast-paced and unconventional than a traditional corporate office.
