Job Description
I am a busy NYC professional seeking an exceptionally capable, experienced administrative professional for a very part-time position.
I am looking for someone who is seasoned, intelligent, highly organized, discreet, technologically comfortable and—most importantly—a genuine problem solver.
This is NOT a traditional errand-running position and NOT a generic virtual assistant job. I am looking for someone with substantial experience as a Senior Executive Assistant, Executive Secretary, Office Manager, Administrative Manager, or similar senior administrative role.
The right person is someone I can hand a complicated problem to and say, “Can you take care of this?”—and who will research it, figure out who needs to be contacted, make the calls, keep track of what has happened, follow up and stay with it until it is resolved.
Responsibilities
The initial period will involve a backlog of personal administrative projects, followed by an ongoing part-time position of approximately 2-10 hours per week. (We’ll decide together what’s needed.) Additional hours will be upfront during the initial project period and when larger projects arise.
Responsibilities may include:
- Managing complicated personal paperwork and insurance/benefits matters
- Researching unfamiliar systems to me and figuring out how to navigate them
- Making calls and resolving customer-service problems
- Tracking claims, correspondence, forms and follow-up
- Travel-related research and problem-solving
- Organizing digital files, email and information
- Managing online accounts and technology-related tasks
- Scheduling, correspondence and occasional research
- Coordinating with companies, offices and service providers
- Taking ownership of administrative matters that require persistence and follow-through
You do NOT need to have insurance or medical-claims expertise. What matters more is that you are comfortable learning something unfamiliar if that’s the case, and figuring it out.
The ideal candidate:
You have professional experience as an Executive Assistant, Executive Secretary, Office Manager, Administrative Manager or similar senior administrative professional.
You are:
- Extremely organized and detail-oriented
- An excellent researcher and problem solver
- Persistent and excellent at follow-through
- Comfortable making phone calls and dealing with institutions and customer service
- Very comfortable with computers and online systems
- Discreet and trustworthy with confidential information
- Able to prioritize and keep track of multiple open matters
- Comfortable working independently without being micromanaged
- Someone who takes initiative rather than waiting to be told every step
I am specifically looking for someone who can take ownership of a problem rather than simply wait for instructions.
Hours & compensation:
2–10 hours per week on an ongoing basis, with many additional hours during the initial project period and for larger projects assigned.
$40–$50/hour depending on experience and fit.
NYC or nearby NY/NJ preferred. Primarily remote, with occasional in-person work in NYC as needed.
Excellent professional references required.
To apply
Please provide:
- Your résumé
- A brief description of your most recent administrative role
- Your current availability and the number of hours you would ideally like to work each week
- Two professional references
- An answer to this question:
Tell me about a time an employer handed you a problem you had never dealt with before. What was the problem, what did you do, and how did it turn out?
That last question is important to me. I am looking for someone who sees a problem and thinks: “I’ll figure it out.”
Pay: $40.00 - $50.00 per hour
Benefits:
- Flexible schedule
Work Location: Hybrid remote in New York, NY 10001
