Job Description
About Aromaria
Aromaria is a premium interior scent diffusion and lifestyle brand. We design and deliver bespoke scent experiences for luxury hospitality, cruise, retail, and real estate clients across the world. Our EMEA headquarters sits on Regent Street, and we are scaling quickly across Europe and the Middle East.
The role
This is far more than a traditional EA position. Based full-time from our Regent Street office in central London, you will work directly alongside the Managing Director for EMEA, acting as the connective tissue of the business: translating strategy into action, keeping multiple departments aligned, and making sure that what gets agreed actually gets delivered. If you are highly organised, commercially curious, and energised by sitting at the centre of a fast-moving operation, this role offers exceptional exposure and room to grow.
You will work across Operations, Finance, HR, Marketing, Retail, Ecommerce, and Growth, serving as a trusted point of coordination between teams and senior leadership.
Key responsibilities
• Manage the MD’s calendar, inbox, travel, and meeting flow across multiple time zones
• Track strategic objectives across departments and follow through to completion, holding owners accountable to agreed deadlines
• Turn high-level plans into clear actions, owners, and timelines, then drive delivery
• Prepare briefing documents, agendas, reports, and presentations for internal and client-facing meetings
• Coordinate cross-departmental projects, surfacing risks and bottlenecks early
• Act as a first point of contact and gatekeeper on behalf of the MD
• Support leadership and investor reporting cycles
• Handle confidential information with absolute discretion
What you will bring
• Proven experience as an EA, project coordinator, or in a similar role within a fast-paced environment (Chief of Staff exposure is a strong plus)
• Exceptional organisation and the ability to juggle competing priorities without losing the detail
• A confident communicator who can hold their own with senior stakeholders and external clients
• A proactive, ownership mindset: you anticipate rather than wait to be asked
• Strong written English and a sharp eye for detail
• Comfort with tools such as Google Workspace, project management platforms, and CRM systems
What we offer
• A front-row seat to how a premium global brand scales across EMEA
• Direct mentorship from senior leadership and genuine progression potential
• A beautiful office in the heart of London, on Regent Street (W1)
