Job Description
About Our Client
Our client is an operator-led life sciences and healthcare platform focused on building, scaling, and accelerating transformative medical technology companies.
Founded by experienced MedTech executives and entrepreneurs, the organization brings together operating experience, industry relationships, strategic insight, and capital to help exceptional healthcare companies realize their full potential.
As our client and its portfolio of companies continue to grow, attracting exceptional people will be one of its most important competitive advantages.
We are looking for someone exceptional to help build that advantage.
The Opportunity
Our life sciences client is seeking an exceptional Executive Assistant to the CEO who will serve as a trusted partner and the primary point of coordination for the CEO.
This is not a traditional administrative support role.
We are looking for a highly organized, proactive, and resourceful professional who can operate several steps ahead—anticipating needs, managing complexity, protecting the CEO’s time, and ensuring important priorities move forward with speed and precision.
The Executive Assistant will manage a complex calendar, extensive domestic and international travel, meetings and events, executive communications, contacts, and day-to-day priorities. This individual will also serve as an important liaison across the organization, its portfolio companies, investors, clients, business partners, and other external stakeholders.
As the organization continues to build its infrastructure, this individual will also help establish its physical office presence and may provide office management support during the startup phase until a dedicated Office Manager is in place.
This is a highly visible, high-trust role for someone who thrives in a fast-moving, entrepreneurial environment and takes pride in making an executive and an organization more effective.
What You Will Do
Own the CEO’s Calendar, Priorities, and Time
- Manage a complex and frequently changing executive calendar, prioritizing meetings, appointments, and competing demands to maximize the CEO’s effectiveness.
- Act as a gatekeeper and thought partner on scheduling decisions, understanding what is urgent, what is important, and what can be delegated or deferred.
- Anticipate scheduling conflicts and business needs before they become issues and proactively recommend solutions.
- Protect focused time while ensuring the CEO remains accessible to the people and priorities that matter most.
Manage Travel and Executive Logistics
- Coordinate extensive domestic and international travel, including flights, accommodations, ground transportation, itineraries, visas, and other required travel documentation.
- Build detailed, practical travel plans that account for business priorities, time zones, meeting locations, contingencies, and last-minute changes.
- Remain responsive when travel plans change and quickly resolve logistical issues with minimal disruption to the CEO.
- Coordinate executive expenses, invoices, reimbursements, and related administrative documentation.
Drive Meetings, Communication, and Follow-Through
- Plan and coordinate executive meetings, leadership meetings, board-related activities, off-sites, events, and other business functions.
- Prepare agendas, presentations, briefing materials, reports, and executive correspondence as needed.
- Capture key decisions and action items, track commitments, and proactively follow up to ensure important priorities do not stall.
- Screen, prioritize, and manage incoming communications, ensuring urgent or sensitive matters are surfaced appropriately.
- Maintain executive contacts, organizational records, and confidential information with exceptional accuracy and discretion.
Serve as a Trusted Liaison
- Serve as a primary point of coordination between the CEO and employees, portfolio company leaders, clients, investors, clinicians, business partners, and other external stakeholders.
- Build strong relationships throughout the organization’s network while representing the CEO and company with professionalism, warmth, judgment, and poise.
- Exercise discretion when handling confidential, sensitive, and high-stakes matters.
- Understand the CEO’s priorities and communication style well enough to resolve routine matters independently and escalate the right issues at the right time.
