Job Description
About the Organization
For over five decades, our client — a respected Northern California nonprofit — has helped people move from homelessness into safe, affordable homes of their own. Operating across seven counties (Alameda, San Francisco, Contra Costa, Solano, Sacramento, San Joaquin, and Amador), the organization delivers housing, food, and support services rooted in a mission of equitable, sustainable solutions to homelessness.
Executive Assistant to the CEO
Are you the person who makes a busy executive’s world run smoothly? We’re looking for a sharp, discreet, and highly organized Executive Assistant to be the CEO’s right hand at a mission-driven nonprofit making a real difference in Northern California communities.
You’ll be the connective tissue between the CEO, the Leadership team, and the Board — managing priorities, driving follow-through, and keeping a growing organization moving with clarity and confidence.
What You’ll Do
- Own the CEO’s calendar and inbox — scheduling, prioritizing, drafting responses, and prepping briefing materials for meetings spanning programs, operations, fundraising, and Board governance
- Anticipate what the CEO needs before they ask, flagging deadlines, risks, and follow-ups that matter
- Coordinate Board and committee meetings end-to-end: agendas, packets, minutes, and governance records
- Draft and polish communications, presentations, and reports for the Board, funders, public agency partners, and staff
- Keep cross-functional leadership meetings on track — logistics, notes, decisions, and action items
- Build and maintain the systems (trackers, shared files, workflows) that keep the executive office and broader organization organized and accountable
- Support onboarding for new executive and administrative hires
- Coordinate with funders, public agencies, vendors, and community partners as needed, and help host guests and meetings on-site
What You Bring
- 5+ years supporting a CEO, executive director, or other senior leader in an executive support, operations, or program coordination role
- A genuine commitment to serving people experiencing homelessness; nonprofit experience strongly preferred
- Experience supporting a Board of Directors or governance function, a plus
- Strong Microsoft Office skills and comfort with scheduling and project/task management tools
- Excellent written and verbal communication, sound judgment, and the ability to keep sensitive information confidential
- A flexible, can-do attitude and the ability to thrive under pressure with minimal supervision
Additional Details
- Must pass a criminal background check
- Some lifting (up to 25 lbs) and standing/walking may be required
