The EA translates priorities into calendars, systems, communications, meetings, travel, projects, and follow-through. The role requires exceptional judgment, anticipation, organization, discretion, and the ability to manage competing priorities without constant direction.
You will work closely with Dr. Stancil and coordinate with the Personal Assistant/Lifestyle Manager, Administrative Assistant, clinical providers, consultants, vendors, family offices, professional partners, and other stakeholders.
Executive Operations & Calendar Management
- Own and continuously optimize Dr. Stancil’s integrated professional calendar.
- Build calendars proactively around clinical capacity, strategic priorities, travel, speaking engagements, intensives, meetings, recovery time, and personal commitments.
- Protect preparation time, transition time, buffers, and recovery.
- Anticipate scheduling conflicts and resolve them before they become problems.
- Coordinate complex multi-party meetings involving patients, families, clinicians, consultants, executives, and external partners.
- Prepare daily and weekly priorities so Dr. Stancil enters each day with clarity about what matters most.
- Maintain accurate scheduling across time zones, locations, virtual meetings, travel, and changing priorities.
- Coordinate with the Personal Assistant/Lifestyle Manager so personal and professional calendars operate as one coherent system.
Clinical Practice Coordination
- Support the operational infrastructure of a high-touch concierge psychological practice.
- Coordinate scheduling and communication with patients, families, referring professionals, and consulting providers.
- Prepare and maintain schedules for family intensives, retreats, consultations, meetings, and other clinical engagements.
- Coordinate logistics across multiple providers while maintaining clear ownership.
- Track outstanding administrative and operational items requiring Dr. Stancil’s attention.
- Support preparation and organization of clinical and administrative materials.
- Maintain strict confidentiality concerning patients, families, health information, finances, and professional relationships.
- Exercise excellent judgment regarding what requires escalation, what can be handled independently, and what should remain confidential.
Founder & Platform Support
Dr. Stancil’s work is expanding into a broader intellectual and public platform. The EA will help build the operational infrastructure necessary to support that growth.
Responsibilities may include:
- Coordinating speaking engagements, podcasts, media appearances, panels, conferences, TEDx opportunities, book events, and other public commitments.
- Managing professional briefings, schedules, itineraries, contacts, deadlines, and follow-up.
- Coordinating with producers, event organizers, publishers, researchers, consultants, and professional collaborators.
- Maintaining project timelines and ensuring commitments move forward.
- Supporting books, research, educational initiatives, retreats, and other platform projects.
- Preparing agendas, briefing documents, action items, and follow-up.
