Job Description
About Us
We are an international investment platform focused on real estate, private equity, and special situations across the UK, US, and other key markets. The firm is growing quickly, with active deal flow, cross-border activity, and a lean senior team operating across multiple time zones. We work in a fast-paced, founder-led environment that values discretion, responsiveness, organization, and strong execution.
Role Overview
We are seeking a high-calibre Executive Assistant based in the London area to support senior leadership in a dynamic, cross-border private equity environment. This is a true business-facing EA role, not a purely administrative position. The successful candidate will help manage complex calendars, travel, meetings, follow-up, and day-to-day coordination across investors, advisors, operating partners, counterparties, and internal team members, while serving as a trusted gatekeeper and force multiplier for leadership.
Key Responsibilities
-
Manage complex and frequently changing calendars across UK, US, and international time zones.
-
Coordinate internal and external meetings across investors, lenders, legal counsel, bankers, consultants, operating partners, and counterparties.
-
Arrange detailed domestic and international travel, including flights, hotels, ground transportation, itineraries, and last-minute changes.
-
Prepare meeting agendas, briefing packs, background materials, and follow-up items for calls, investor meetings, diligence sessions, and transaction processes.
-
Track action items and ensure timely follow-through across multiple live workstreams.
-
Help manage inboxes, communications, and scheduling priorities so senior leadership remains focused on highest-value activity.
-
Coordinate logistics for deal meetings, management presentations, site visits, dinners, and investor events.
-
Support document and data management, including organization of key files, NDAs, diligence materials, and internal trackers.
-
Liaise with advisers, service providers, and internal team members to keep workstreams moving without constant senior intervention.
-
Assist with light office, operational, and administrative support as needed, particularly in relation to London-based meetings and in-person coordination.
Required Qualifications
-
5+ years of experience supporting senior executives, founders, partners, or investment professionals in private equity, investment banking, asset management, real estate, professional services, or a similarly high-performance environment.
-
Proven ability to manage highly complex scheduling and travel in a fast-moving international setting.
-
Strong judgment, discretion, and professionalism when handling sensitive information and senior external relationships.
-
Excellent written and verbal communication skills.
-
Exceptional organizational ability and attention to detail.
-
Strong command of Outlook, Excel, PowerPoint, Word, and standard collaboration tools.
-
Ability to operate independently, stay calm under pressure, and adapt quickly as priorities shift.
Preferred Experience
-
Experience supporting private equity, investment, or cross-border executive teams.
-
Familiarity with investor, banker, legal, and transaction-driven environments.
-
Experience coordinating international travel and schedules across multiple time zones.
-
Comfort with hybrid work and occasional in-person support in the London area.
-
Exposure to CRM systems, expense management, travel planning, and document organization in deal-heavy businesses.
What This Role Offers
-
A central role supporting senior leadership in a growing international investment platform.
-
Broad exposure to transactions, investors, advisors, and high-level business activity.
-
Significant responsibility and visibility in a lean team.
-
A flexible London-area remote / hybrid setup with meaningful day-to-day involvement.
