Full-Time Hybrid Executive/Operations Assistant

Salvage Europe is a reclaimed materials and architectural millwork company based in Vernon, CA, working with builders, designers, and architects across the US. We’re looking for a full-time assistant to take ownership of the operational and administrative load that keeps the business running — freeing up the owner to focus on sourcing, sales, and client relationships.

What You’ll Be Doing

• Coordinating with freight forwarders and customs brokers on incoming container shipments — tracking ETAs, confirming import documentation, and following up on customs holds
• Managing vendor and builder communication — scheduling material deliveries, confirming quantities, and coordinating with project managers and site teams
• Supporting the bid and quote process — organizing incoming project requests, tracking material pricing approvals, and following up on purchase orders and deposits
• Managing inbox and calendar — triaging a high-volume inbox, flagging what needs the owner’s direct attention vs. what you can handle
• Scheduling and confirming showroom visits and client meetings
• Providing light bookkeeping support — tracking vendor invoices and statements of account
• Reviewing and organizing contracts and documents sent for signature, and flagging deadlinesWhat We’re Looking For
• Experience in operations, logistics, or executive/administrative assistant roles (import/export or construction industry experience is a plus, not required)
• Ability to manage multiple open threads at once without dropping details — this role involves tracking shipments, POs, deliveries, and follow-ups simultaneously
• Clear, professional written and verbal communication with vendors, brokers, and clients
• Comfort with ambiguity — you’ll help shape the role as you learn the business
• Based in or near Vernon/LA and able to commute in part of the week
