Job Description
Executive & Personal Assistant / Household Operations ManagerPosition Overview
Seeking a highly organized, resourceful, and proactive Executive & Personal Assistant to serve as the right hand to a single high-net-worth individual.
This is a dedicated one-on-one position — you will be supporting one individual, not a team of executives or a large office. The role spans personal, administrative, travel, household, and property-related responsibilities.
The primary goal is to reduce the employer’s administrative burden and protect their time. The ideal candidate takes ownership, anticipates needs, solves problems independently, and follows tasks through to completion without constant supervision.
The position includes both administrative work and hands-on coordination across multiple properties in Puerto Rico.
Key ResponsibilitiesCalendar & Communications
- Manage personal and professional calendars, meetings, calls, appointments, and reservations.
- Set reminders for important deadlines, payments, appointments, and tasks.
- Screen and organize email, flagging items requiring attention.
- Respond to routine correspondence and communicate with vendors and service providers.
- Proactively follow up on outstanding items.
Travel & Logistics
- Book flights, hotels, transportation, and other travel arrangements.
- Create organized travel itineraries and coordinate reservations.
- Manage travel changes and logistical issues as needed.
- Maintain flight logs and track travel-related expenses.
Household & Property Management
- Coordinate maintenance and routine upkeep across multiple properties in Puerto Rico.
- Manage contractors, cleaners, repair technicians, household staff, and other service providers.
- Track maintenance requests and projects through completion.
- Coordinate deliveries, installations, freight forwarding, and vendor access.
- Manage household staff schedules and payment schedules.
- Maintain vendor records, recurring maintenance schedules, and household supplies.
Personal Assistance
- Handle errands, returns, dry cleaning, groceries, and specialty purchases.
- Assist with personal shopping, gifts, reservations, and appointments.
- Research and coordinate products, vendors, and services as needed.
Administration & Finance
- Organize digital files, records, spreadsheets, and important documents.
- Complete administrative and investment-related paperwork.
- Track bills, receipts, invoices, and recurring payments.
- Prepare expense reports and maintain payment records.
- Coordinate with accountants, attorneys, financial institutions, and other professional service providers when requested.
Ownership & Organization
This is a high-trust, right-hand role. The assistant will become the primary point person for managing the employer’s day-to-day administrative and personal logistics.
A major responsibility is ensuring things do not fall through the cracks. The assistant will maintain a centralized system for tasks, deadlines, purchases, repairs, and ongoing projects; proactively follow up on outstanding items; and bring matters to the employer only when input or a decision is needed.
The expectation is not simply to take instructions, but to take ownership, learn the employer’s preferences, and anticipate what needs to happen next.
Ideal Candidate
- Extremely organized, dependable, and detail-oriented.
- Proactive, resourceful, and comfortable working independently.
- Strong problem-solving and follow-through skills.
- Able to manage multiple priorities in a fast-moving environment.
- Professional when dealing with vendors, contractors, staff, and professional service providers.
- Comfortable with calendars, email, spreadsheets, cloud storage, and expense tracking.
- Discreet and trustworthy with confidential personal and financial information.
- Flexible when schedules and priorities change.
Experience supporting a high-net-worth individual, entrepreneur, or executive in a one-on-one capacity is strongly preferred. Experience with property or household management is a plus.
English and Spanish proficiency is a must. Familiarity with Puerto Rico and local vendors/service providers is a must
