Job Description

• This role supports a senior leader (Lena) overseeing 4 divisions (~700+ employees) across multiple regions and countries.
• The Executive Assistant will serve as the primary point of contact for calendaring, travel coordination, stakeholder communication, and onsite logistics.

• Work to maximize efficiency and impact of the leader’s engagements and activities.
• Perform advanced administrative and confidential assignments
• Coordinate complex activities within the department and across departments
• Coordinate Internal and external meetings and events
• Improve meeting efficiency and impact
• Expense management
• Manage office supplies as needed
• Organize division events as needed
• Support the leader who has a calendar that deals with multiple time zones/ countries
• High-stake meetings, interfacing with customers, contingency planning
• Some quarterly hand-on meetings
• Complex calendar management across multiple time zones
• Domestic & international travel coordination (primarily planning/logistics)
• Act as primary contact for internal & external stakeholder meetings
• Customer-facing support for onsite leadership/customer visits
• Coordinate team events, all-hands, quarterly meetings, and community events
• Maintain distribution lists and support web/virtual meetings
• Handle confidential information with discretion and professionalism
• Partner with Chief of Staff and other EAs (globally) to prioritize meetings
• Provide onsite support for ~150-200 employees at Milpitas site
• Office logistics support (supplies, local events, coordination)

Qualifications

• Education: HS Diploma + many years of experience is sufficient
• Experienced, organized, and creative professional to support the Leader of a major product group in client.
• Requires detailed knowledge of company operations, organizational procedures and personnel, and continuous use of technical and business vocabulary.
• Communication skills- verbal and written
• Able to work with a dynamic environment
• 3-5+ years of experience ideally C-Suite Level or Sr. VP Level (Ideally 8-10+ years)
• Strong discretion; emotional intelligence; high integrity; proactive
• Multi-tasking skills
• MS Office Suites, Outlook (calendaring), Teams, Zoom, Workday (preferred)
• Semiconductor/manufacturing helpful but not required
• Experience in any fast‑paced, dynamic environment acceptable
