We are seeking an Executive Assistant to keep the organization running smoothly and provide direct support to the CEO. This is a hands-on role for someone who is highly organized, resourceful, adaptable, and excited to work across people operations, office management, finance administration, and executive support.
What You’ll Do
- Serve as a trusted gatekeeper to the CEO, helping manage a constantly shifting mix of priorities, commitments, travel, relationships, and business needs.
- Own the CEO’s calendar, scheduling, and time management, proactively prioritizing meetings, resolving conflicts, protecting focus time, and ensuring the CEO is prepared for what’s next.
- Manage and organize the CEO’s email and information flow, identifying what requires attention, tracking follow-ups, surfacing priorities, and ensuring important requests and decisions don’t get lost.
- Create systems for capturing, organizing, and tracking action items, decisions, deadlines, and follow-ups across meetings, email, travel, and ongoing projects.
- Coordinate complex travel and logistics, including itineraries, accommodations, transportation, scheduling across time zones, and last-minute changes.
- Leverage AI and automation tools to streamline email management, meeting preparation and follow-up, research, scheduling, documentation, task tracking, and recurring administrative workflows.
- Build, improve, and maintain the systems, processes, workflows, and documentation that keep a small, fast-moving organization organized and operating efficiently.
- Anticipate the CEO’s needs, proactively flagging conflicts, deadlines, missing information, and potential issues before they become problems.
- Manage day-to-day office operations and administrative needs, bringing structure and consistency to a highly dynamic environment.
- Coordinate information, priorities, and follow-through across Unison Media, its website-creation business for artists, and Death of Classical, ensuring nothing falls through the cracks between businesses and projects.
- Partner with the bookkeeper and accountant on invoicing, expenses, documentation, and other finance-related administrative processes.
- Handle sensitive business and personal information with exceptional discretion, judgment, and confidentiality.
Who You Are
- 8+ years of relevant professional experience in executive support, office management, operations, administration, or a related field, ideally supporting senior executives or founders.
- Demonstrated experience managing complex executive calendars, scheduling, email, travel, and competing priorities in a fast-paced environment.
- Strong proficiency with Google Workspace or Microsoft Office, calendar and scheduling tools, project/task management platforms, and other modern workplace technology.
- Experience using AI tools and automation to improve productivity, organization, research, communication, or administrative workflows.
- Excellent written and verbal communication skills, with the ability to communicate professionally with senior executives, clients, partners, and other high-profile stakeholders.
- Proven ability to work independently, exercise sound judgment, anticipate needs, and handle confidential information with discretion.
- Exceptional organizational, prioritization, and follow-through skills, with the ability to manage multiple workstreams simultaneously.
- Experience developing or improving administrative systems, processes, workflows, and documentation.
- Working knowledge of classical music and opera, including familiarity with major composers, artists, and the broader performing arts landscape is preferred.
- Genuine interest in classical music, the performing arts, culture, and aesthetics.
- Bachelor’s degree preferred, or equivalent combination of professional experience and demonstrated capability.
What You’ll Gain Exposure To
- Award-winning publicity, branding, social media, and digital marketing for some of the leading artists and institutions in classical music and opera.
- Unison’s industry-leading website creation business, helping artists build and elevate their digital presence.
