  • Full-Time
  • C level

Job Description

Jay Franco and Sons — a NYC-based licensed home textile manufacturer shipping globally — is hiring an Executive Assistant to support our COO. This is a demanding, high-visibility seat. Read carefully before applying.

What you’ll do

  • Own the COO’s business and personal calendars. Both. Every day.
  • Build and validate monthly retailer sales reports (Walmart US, Target, etc.) in Excel — pivot tables, VLOOKUPs, and clean reconciliation.
  • Coordinate domestic and international travel, expenses, vendor communications, and trade-show logistics.
  • Draft communications on the COO’s behalf. Build decks and mockups in Canva.
  • Use AI tools (ChatGPT, Claude, etc.) daily to keep pace.
  • Manage personal/family duties for the executive: school and camp registrations, medical appointments, insurance, government documentation, family logistics. This is a real, ongoing 40% of the role — not occasional.

Who this is for

  • 2–4 years supporting a C-level executive, founder, or business owner.
  • Advanced Excel (will be tested).
  • Canva proficient, daily AI-tool user, fast learner.
  • Comfortable with direct, fast-paced feedback from a demanding executive.
  • Discreet, reliable, and steady under pressure.
  • Willing to flex hours when the COO travels.
  • 5 days per week in our NYC office. Non-negotiable.

Who this is NOT for

  • Anyone who considers personal/family duties beneath the role.
  • Anyone who needs constant hand-holding or detailed instructions for every task.
  • Anyone who takes direct feedback personally.
  • Anyone looking for remote or hybrid.

The job is 5 days in. The office is located in East Midtown.

Job Type: Full-time

Pay: $70,000.00 - $75,000.00 per year

Benefits:

  • 401(k)
  • Dental insurance
  • Health insurance
  • Paid time off
  • Vision insurance

Application Question(s):

  • This role is 5 days per week in our NYC (Manhattan) office. There is no remote or hybrid option. Are you able and willing to work onsite 5 days per week? (Yes/No)
  • This role includes BOTH business duties (calendar, sales reports, travel) AND personal/family duties for the executive (school and camp registrations, medical scheduling, insurance, government documentation, family logistics). Personal duties are approximately 40% of the role. Are you comfortable taking on this scope? (Yes/No)
  • Can you independently build a pivot table and use VLOOKUP or XLOOKUP in Excel?
  • When the COO is traveling, you may be expected to respond to messages or coordinate logistics outside standard 9–5 hours, including some evenings and occasional weekends. Are you comfortable with this expectation? (Yes/No)
  • The executive you would support is direct, fast-paced, and gives blunt but respectful/constructive feedback. Past EAs who needed feedback to be cushioned or who took critique personally have struggled in this seat. Are you comfortable working with a direct, demanding executive? (Yes/No)
  • How often do you use AI tools (ChatGPT, Claude, Microsoft Copilot, Gemini, etc.) for your work?

  • Daily — multiple times
  • A few times a week
  • Tried it a few times
  • Never

  • How would you rate your Canva proficiency? Can you independently produce a clean presentation deck or branded mockup?

  • Yes — I build decks and brand assets in Canva regularly
  • Yes — I can produce basic designs but not complex layouts
  • I’ve used it once or twice
  • Never used Canva

  • This role pays $70,000–$75,000. What is your salary expectation?
  • In 2–3 sentences, describe the most demanding executive you have ever supported. What specifically made the role tough, and what did you do to stay in the seat?

Education:

  • Bachelor’s (Required)

Experience:

  • Executive Assistant: 2 years (Required)

Ability to Commute:

  • New York, NY 10016 (Required)

Work Location: In person

Skills

  • Canva
  • chatgpt
  • claude-by-anthropic
