About South River USA LLC
South River USA LLC is the U.S. operating platform of Singapore-based South River Group (SRG), an investment and brand management company specializing in building, scaling, and globalizing premium consumer brands.
In the United States, South River USA develops Royal Cathay, a heritage premium tea brand known for rare teas and refined craftsmanship, and Origin Leaf, a single-origin organic tea brand from Georgia (the Country) centered on natural purity. The company is expanding both brands through retail, e-commerce, wholesale, corporate gifting, hospitality, and distribution partnerships.
The Role
We are seeking a highly organized, execution-driven Executive Assistant to support the Group CEO and help maintain administrative and operational continuity for the U.S. business. This role emphasizes U.S. operational support—administration, documentation, compliance coordination, vendor management, and follow-through—ensuring continuity when the CEO is traveling between the U.S. and Singapore.
The ideal candidate is comfortable working across time zones, managing multiple workstreams, and coordinating with internal teams and external professionals with discretion and strong business writing.
Key Responsibilities
1. Executive Office & Continuity
- Maintain an operating cadence through structured action tracking, updates, and follow-through across U.S. priorities.
- Prepare concise CEO briefings and decision queues to support efficient approvals while traveling.
- Coordinate the CEO’s business-critical meetings, scheduling, and related follow-up as needed.
2. U.S. Operations & Administration
- Own day-to-day office administration and basic procurement; maintain organized records, templates, and SOPs.
- Coordinate signature workflows and document execution (e.g., DocuSign); ensure secure storage and retrieval.
- Maintain key business trackers (project/action logs, partner pipeline support documents, status reports).
3. Corporate Administration & Document Control
- Maintain corporate records for the U.S. entity (registrations, contracts, banking documentation, policies, key correspondence).
- Manage contract administration: contract register, renewal dates, insurance/COI requirements, and obligations tracking.
4. Compliance & Regulatory Coordination (Non-Legal)
- Coordinate compliance workflows with external counsel/advisors (e.g., annual filings, address updates, registrations).
- Maintain a compliance calendar with deadlines, owners, and required documentation; escalate risks proactively.
- Support operations-related compliance administration as needed in coordination with internal owners and external consultants.
5. Stakeholder & Vendor Management
- Serve as the U.S. administrative point of contact for external professionals and vendors (legal, accounting, payroll/HR, agencies, logistics partners, office providers).
- Track requests, timelines, and deliverables; ensure timely follow-up and escalation.
- Maintain an up-to-date stakeholder directory and service scopes.
Qualifications
- Bachelor’s degree required.
- Must be legally authorized to work in the United States.
- 1–3 years of relevant work experience.
- Strong execution skills: structured follow-up, deadline management, and stakeholder coordination.
- Excellent written and spoken English; Mandarin proficiency is a strong plus.
- High attention to detail, sound judgment, and ability to prioritize in a fast-changing environment.
- Proficiency in Microsoft Office and Google Workspace; comfortable with collaboration and tracking tools.
- Ability to accommodate occasional scheduling needs across New York and Singapore time zones.
Compensation & Benefits
- Competitive salary (commensurate with experience)
- Performance-based bonus
- Opportunities for professional development and international business exposure
