Job Description
We’re a well-funded, early-stage AI company building ambitious technology at the forefront of artificial intelligence. Our team is tackling complex technical problems with the potential to meaningfully shape how next-generation AI systems are built and scaled.
We’re looking for an exceptional Executive Assistant to support our two co-founders and help drive their day-to-day priorities.
In this role, you’ll manage a high volume of competing demands for the founders’ time and attention. You should be proactive, highly detail-oriented, self-directed, and comfortable making judgment calls with minimal direction. The right person will be able to anticipate needs, create structure in a fast-moving environment, and keep the founders focused on the highest-impact priorities across the business.
We’re particularly interested in candidates who have previously supported founders or senior executives at a Series A or Series B startup. This role is 5 days in-person at our Palo Alto office.
Key Responsibilities
- Calendar Management: Own and manage dynamic calendars for two co-founders, proactively resolving conflicts, prioritizing meetings, and protecting focus time.
- Executive Liaison: Serve as a trusted gatekeeper and primary point of contact for external stakeholders, particularly at the first point of contact.
- Meeting Preparation: Coordinate agendas, provide relevant context ahead of meetings, and track post-meeting action items to ensure accountability and follow-through.
- Travel & Expenses: Manage end-to-end travel planning, including itineraries, accommodations, and daily logistics for work travel. Support expense submissions and ensure receipts and documentation are captured and uploaded on time.
- Office Support: Partner with our Office Manager on larger strategic office initiatives and support ad hoc operational needs as they arise.
What We’re Looking For
- Prior experience supporting founders or senior executives at an early-stage, high-growth startup
- Exceptional organizational skills and attention to detail
- Strong judgment and the ability to make decisions independently
- Ability to juggle multiple competing priorities without losing sight of what matters most
- A highly proactive mindset and ability to anticipate needs before they arise
- Comfort operating in a fast-paced, rapidly changing environment
- Excellent written and verbal communication skills
- High levels of discretion, professionalism, and reliability
