The Role

You will take ownership of the procedural, administrative, and follow-up work that sits underneath each client interaction — making sure nothing falls through the cracks between a client meeting and exchange of contracts. This is a hands-on, front-of-house support role, not a back-office position.

What You’ll Be Doing

• Sending personalised post-meeting emails to clients on the same business day.
• Preparing and sending build letters on house-and-land matters.
• Dispatching amendment requests and owning the follow-up cadence until resolved.
• Chasing exchange of contracts and deposit payments until confirmed.
• Maintaining matter files in TriConvey (Smokeball) to firm standard.
• Preparing meeting materials and coordinating scheduling.
• Coordinating with all parties to confirm settlement dates and requirements.
• Following up on outstanding conditions, adjustments, and settlement documentation.
• Monitoring PEXA workspaces and ensuring all tasks are completed ahead of settlement.

What We Are Looking For

Essential:

• Experience in a conveyancing support or paralegal role.
• Strong comprehension of written English (you will be working with Australian property and legal documents daily).
• Highly organised with sharp attention to detail across dozens of active matters.
• Full availability to work during Australian Eastern Standard Time business hours is required.
• Proficient with Microsoft Outlook and quick to pick up new systems.
• A genuine interest in conveyancing as a career.

Desirable:

• Experience in Australian conveyancing or property law.
• Familiarity with off-the-plan transactions in NSW, VIC, or QLD.
• Experience with PEXA, InfoTrack, or similar platforms.
