Welcome Team - Front Desk Admin

At Music Speaks Studio, we bring creativity to life through music, art, and dance! We are looking for an energetic, warm, and highly organized Welcome Team Front Desk Admin Assistant to serve as the heart of our studio. Our Welcome Team is responsible for connecting with families, guiding prospective students, and keeping our day-to-day studio operations running seamlessly.

Key Responsibilities

• Customer & Family Connection: Maintain continuous, positive communication with students and parents in person, via phone, text, and email.
• Lead Generation & Sales: Proactively engage new inquiries, follow up with prospective families, and help grow our studio community.
• CRM & Operations: Utilize CRM software (Opus1.io, Asana, Google Workspace) for student scheduling, payments, registrations, and account management.
• Onboarding & Offboarding: Manage welcome packages, intake forms, and offboarding workflows for students and staff.
• Marketing Support: Create short promotional videos and photos for social media to highlight daily studio activities.
• Facility Operations: Keep the studio front desk, waiting area, and spaces clean, welcoming, and organized. Open or close the studio as needed.
• Event & Team Participation: Attend staff meetings, promotional events, and public studio performances.
• Physical Tasks: Lift up to 30 lbs for studio setups, moving instruments, or restocking water supplies as needed.

What We Are Looking For

• Strong customer service background with excellent verbal and written communication skills.
• Comfortable with technology and fast to learn new CRM/scheduling tools.
• High self-motivation: Ability to learn and execute core procedures after an initial onboarding period.
• Warm, energetic demeanor—comfortable interacting with children and parents daily.
• Must have a reliable personal laptop to bring to work daily.
• Background check and CPR certification capability required upon hire.

Pay: $20.00 - $26.00 per hour
