Job Description
We are looking for an exceptional Executive Assistant & Practice Operations Lead to become a trusted operational partner to Dr. Eduardo Dolhun and an integral member of our small team.
This is not primarily a clinical position and not a traditional front-desk role. We are looking for someone with outstanding communication skills, excellent judgment, and a natural ability to bring organization to complexity.
The ideal person is warm and polished with patients, highly organized behind the scenes, technologically comfortable, and unusually good at follow-through. You might come from healthcare, executive assistance, a family office, professional services, hospitality, or another high-touch environment. Medical experience is welcome but not required.
The position is primarily based in our San Francisco clinic, with some flexibility for remote work when appropriate.
Responsibilities
- Serve as a warm, polished, and highly responsive point of contact for patients.
- Manage phone communication, scheduling, messages, calendars, and day-to-day coordination.
- Work closely with Dr. Dolhun, Maggie, our nurse, and interns to keep the practice organized and moving forward.
- Create reliable systems for patient follow-up, laboratory testing, referrals, imaging, consultations, annual visits, and other important reminders.
- Turn large amounts of information into clear spreadsheets, trackers, workflows, documents, and actionable lists.
- Maintain project priorities, deadlines, and follow-through across the practice.
- Research and evaluate vendors and technologies, including billing/payment systems, phone systems, scheduling tools, and patient communication platforms.
- Coordinate with laboratories, pharmacies, consultants, vendors, and outside medical offices as needed.
- Develop and improve simple operating procedures so recurring tasks become reliable systems.
- Assist with correspondence, documents, spreadsheets, research, and special projects.
- Continually look for thoughtful ways to improve both clinic operations and the patient experience.
Qualifications
We care more about judgment, communication, initiative, and organizational ability than a particular degree or credential.
The ideal candidate:
- Is exceptionally organized and detail-oriented.
- Communicates beautifully, both verbally and in writing.
- Is warm, gracious, professional, and comfortable interacting with patients.
- Has excellent judgment and knows how to prioritize what is urgent, important, or can wait.
- Is technologically fluent and comfortable with spreadsheets, calendars, productivity software, and learning new systems.
- Can take something complicated or disorganized and create a clear, workable system.
- Is resourceful and enjoys researching and solving unfamiliar problems.
- Anticipates needs rather than waiting to be told what to do.
- Follows through reliably and independently.
- Handles confidential information with discretion.
- Remains calm and effective when multiple things are happening at once.
- Is collaborative, low-ego, flexible, and genuinely enjoys helping a small team perform at its best.
Experience in executive assistance, practice operations, project management, a medical practice, family office, professional services, hospitality, or another high-touch environment is particularly relevant.
Clinical credentials are not required.
What success looks like.
Over time, this person will become a trusted right hand within the practice—someone our patients know and trust, our team depends upon, and who understands the rhythms of the clinic well enough to anticipate what needs to happen next.
The goal is simple: create exceptional organization and continuity behind the scenes so our physicians and clinical team can devote more of their attention to taking care of patients.
We are looking for someone who wants to do more than fill a position. We hope to find an exceptional person who will grow with the practice and become an important and enduring part of Dolhun Clinic.
