Job Description

A prominent Chicago-based organization is seeking a proactive Executive Assistant to join its growing team. This hybrid opportunity (3 days on-site) offers a competitive starting package of $115,000–$125,000 plus additional overtime pay and bonus eligibility. You’ll have the opportunity to partner closely with senior leadership in a fast-paced, high-impact environment. This is more than just an administrative role—it’s a highly visible position where you’ll play a key part in keeping operations running seamlessly at the executive level. The ideal candidate is detail-oriented, resourceful, and thrives in a setting where priorities shift and discretion is essential. In addition to meaningful exposure and the opportunity to work alongside a close-knit collaborative administrative team, the firm offers a comprehensive benefits package, including medical and dental coverage, generous PTO, and more.

Responsibilities of the Executive Assistant:

  • Provide high-level administrative support to senior leaders, including calendar management, meeting coordination, and expense reporting.
  • Coordinate complex domestic and international travel arrangements, including itineraries, accommodations, visas, and logistics.
  • Serve as a key point of contact for internal and external stakeholders, maintaining a high level of professionalism.
  • Manage and prioritize multiple requests in a fast-paced environment while maintaining strong attention to detail.
  • Prepare reports, presentations, and meeting materials as needed.
  • Support team-wide initiatives and collaborate cross-functionally to ensure smooth day-to-day operations.

Qualifications of the Executive Assistant:

  • 5–7 years of administrative experience supporting senior leadership, ideally within a professional services or financial environment.
  • Experience supporting investor relations (IR) activities is strongly preferred.
  • Proficiency in coordinating complex travel arrangements and managing detailed itineraries required.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to multitask, prioritize effectively, and meet deadlines in a fast-paced setting.
  • Team-oriented mindset with a proactive and collaborative approach.
  • Excellent communication skills, both written and verbal.
