Job Description
Job Summary
The Law Offices of Jessica M. Figueroa, PLLC is a growing law firm serving clients throughout the Hudson Valley in Real Estate, Estate Planning, Probate & Estate Administration, Guardianships, and Business Law. We pride ourselves on providing exceptional client service while maintaining a collaborative, professional, and supportive office environment.
We are seeking an exceptionally organized, proactive, and detail-oriented Legal Executive Assistant to work directly with the Managing Attorney. This is not a traditional legal assistant position. You will serve as the attorney’s right hand—managing priorities, organizing workflow, and ensuring that the firm operates efficiently while allowing the attorney to focus on practicing law and serving clients.
This position is ideal for someone who enjoys solving problems, anticipating needs before they arise, and bringing structure to a fast-paced environment.
What You’ll Do:
Executive Support
- Manage and organize the Managing Attorney’s email inbox, including prioritizing communications and drafting routine responses.
- Maintain and coordinate the attorney’s calendar, including client meetings, court appearances, closings, and deadlines.
- Prepare daily agendas and ensure meetings and deadlines stay on track.
- Coordinate travel, continuing legal education, licensing deadlines, and professional memberships.
- Handle confidential information with the highest level of discretion.
Office Operations
- Coordinate communication among attorneys, staff, clients, title companies, lenders, real estate agents, courts, and vendors.
- Monitor outstanding tasks and follow up to ensure timely completion.
- Assist in implementing and improving office procedures and workflows.
- Maintain office supplies, vendor relationships, and administrative systems.
- Support special projects and assist with marketing initiatives as needed.
Client Experience
- Ensure clients receive timely updates and exceptional customer service.
- Manage incoming communications and direct matters to the appropriate team members.
What We’re Looking For
The ideal candidate is:
- Highly organized and exceptionally detail-oriented.
- Able to manage multiple priorities without becoming overwhelmed.
- Professional, polished, and confident communicating with clients and professionals.
- Proactive and resourceful, with the ability to anticipate needs rather than wait for direction.
- Comfortable working in a fast-paced, deadline-driven environment.
- Able to maintain strict confidentiality.
Qualifications
Required:
- Minimum of 3 years of executive assistant, office management, or administrative experience.
- Excellent written and verbal communication skills.
- Strong proficiency in Microsoft Outlook, Word, Excel, and Microsoft 365.
- Exceptional organizational and time management skills.
- Ability to prioritize competing responsibilities.
- Strong problem-solving abilities.
- Professional demeanor and excellent customer service skills.
Preferred:
- Experience working in a law firm, title company, real estate office, or other professional services environment.
- Familiarity with legal or real estate terminology.
- Experience with practice management software.
- Spanish-speaking ability is a plus.
What Success Looks Like
Within your first six months, you will:
- Keep the Managing Attorney’s calendar organized and running efficiently.
- Significantly reduce email backlog and ensure communications are prioritized.
- Improve workflow and communication throughout the office.
- Help create systems that allow the attorney to focus on legal work rather than administrative tasks.
- Become a trusted resource for both staff and clients.
Why Join Our Team?

We value initiative, professionalism, accountability, and teamwork. If you enjoy creating order out of complexity and want a role where your contributions truly matter, we’d love to hear from you.
Please submit your resume along with a brief cover letter explaining why you believe you would be an excellent fit for this role.
