Job Description
About this role
We are looking for an Executive Assistant with 3-5 years of experience to support the Chief of Staff and CEO at a fast-growing, venture-backed coaching marketplace that just hit $15M ARR with a team of 4. You’ll be the operational backbone of a scrappy early-stage company, managing communications, scheduling, payments, and events — with room to grow into a broader role as the company scales.
What will you be doing?
- Managing calendars and inboxes for the Chief of Staff and CEO, including ghostwriting emails on behalf of the CEO
- Owning coach relationship management — handling all communications between clients and coaches, scheduling introductions, and sending relevant information
- Running invoice management and payment operations — sending invoices, following up on collections, and processing coach payments
- Planning and executing monthly events — coordinating with restaurants, airlines, and managing guest lists
- Handling ad hoc administrative tasks like organizing tax documents and maintaining CRM (Attio)
Key Requirements
- 3-5+ years of EA experience, ideally at early-stage startups (Seed to Series C) — no purely corporate backgrounds
- Excellent written communication skills — you’ll be ghostwriting emails and representing the company externally
- Self-directed and able to ramp quickly without extensive training or hand-holding
- Must be based in or willing to relocate to NYC; in-office 5 days/week in Brooklyn
- No pattern of job-hopping (multiple roles under 12 months)
Seniority
- 3 - 6 years of experience as an Executive Assistant, supporting C- suite at early- stage startups
Work experience
- EA experience at early- stage startups (Seed to Series D)
- Reported directly to CEO or C- suite executive
- Experience with invoice management, payments, or light accounting
- Event planning and logistics coordination experience
Hard skills
- Excellent written communication and email drafting/ghostwriting
- Experience with CRM tools (e. g. , Attio, HubSpot) and automation tools
Soft skills
- Self- directed; ramps fast and operates independently without hand- holding
Miscellaneous
- Must be based in or willing to relocate to NYC; in- office 5 days/week in Brooklyn
- Open to visa sponsorship
