Job Description
Deep Blue Sports + Entertainment (DBSE)
Role: Executive Assistant to the CEO
Location:
NY/NJ area required (hybrid role)
Reports to:
Founder & CEO
About DBSE
Deep Blue Sports + Entertainment is the first firm in the world dedicated exclusively to driving commercial investment in women’s sports, operating across consulting, IP, events, and ventures. Our work spans brand strategy, media, live events, and equity investment in the women’s sports ecosystem. We’re a lean, fast-moving team building in real time — this role is built for someone who thrives in that environment.
The Role
DBSE is seeking a seasoned, highly autonomous Executive Assistant to support the Founder & CEO. This is not a check-the-box, task-oriented role — we are seeking a candidate who proactively anticipates needs, operates several steps ahead, and manages the CEO’s day-to-day logistics (calendar, travel, inbox) without needing direction on the how. You’ll be trusted to make judgment calls, run with ambiguity, and build the systems that don’t yet exist. This is a hands-on, execution-focused position who will interface with the broader internal team, company clients, industry partners, and other senior stakeholders across the industry.
Key Responsibilities
-
Calendar management:
Own scheduling end-to-end — proactively prioritizing, resolving conflicts before they arise, and protecting focus time across a high-volume, constantly shifting calendar.
-
Inbox management:
Triage and manage email, draft responses in the CEO’s voice, flag priority items, and independently close the loop on outstanding threads.
-
Travel coordination:
Book and manage all travel logistics end-to-end, building detailed itineraries and adapting on the fly when plans change. Open to traveling with the CEO to local corporate meetings, events, speaking engagements, and other work travel as needed.
-
Daily schedule & priorities:
Manage and prep the CEO on her day-to-day schedule and priorities, ensuring she’s set up to move through each day efficiently and never caught off guard.
-
Meeting support:
Anticipate what the CEO needs to walk into a room prepared — agendas, briefing materials, context — without being asked.
-
Expense management:
Track and submit expense reports independently and on time.
-
Personal/professional logistics:
Own ad hoc personal scheduling and errands that intersect with the CEO’s professional commitments.
-
Communication liaison:
Serve as a polished, trusted point of contact between the CEO and external stakeholders (clients, partners, press).
-
Internal liaison:
Liaise with the CEO’s leadership team and executive support team — including content, PR/comms, and other key day-to-day relationships — to keep information flowing and priorities aligned, flagging what needs the CEO’s attention and handling what doesn’t.
-
Social media support:
Manage the CEO’s social media content creation calendar in line with the broader social media plan, coordinating with the content and communications team to keep it on track.
-
Vendor management:
Own relationships with day-to-day vendors (travel, event, HMU / styling, and other service providers), managing scheduling, invoicing, and follow-through.
-
Key relationship oversight:
Maintain oversight of the CEO’s key executive relationships, and manage communications and coordination around key events to ensure nothing falls through the cracks. Will liaise regularly with the CEO’s personal assistant to support cross-functional needs and scheduling.
-
Systems and process:
Build and refine the operating systems, workflows, and rhythms that keep a fast-scaling founder organized — because in a startup, they often don’t exist yet.
