Job Description
Join a growing company and build a career alongside the CEO. As an Executive Assistant, you’ll serve as a trusted right hand, supporting day-to-day priorities, coordinating projects, and keeping operations running smoothly. This role is ideal for an organized, tech-savvy, proactive professional who enjoys owning details, improving processes, and expanding responsibilities as the business grows and is able to work in-person at the company’s headquarters in Spring Valley, NY.
What you’ll do
In this role, you’ll manage a fast-moving executive calendar—scheduling meetings, deadlines, and appointments with precision—while also drafting, reviewing, and handling professional correspondence on behalf of the CEO.
You’ll coordinate travel, meetings, and events with meticulous attention to detail, support payables to ensure timely and accurate processing, and review payroll/time records by following up on questions and resolving issues quickly. You’ll also keep the office running smoothly through ordering, stocking, and vendor coordination as needed, and you’ll create and maintain spreadsheets, documents, and basic reports that help the business stay organized and informed.
As projects move forward, you’ll provide coordination support by tracking tasks, timelines, action items, and follow-ups, assist with new-hire onboarding and training, and handle sensitive information with discretion and confidentiality. Most importantly, you’ll anticipate needs, spot efficiencies, and help streamline processes in a growing, fast-paced environment.
What we’re looking for
You’re a polished, proactive professional with a bachelor’s degree in business, communications, project management, marketing, or a related field, and 3–5 years of post-college experience in an administrative, executive assistant, or similar support role. You’re highly proficient with Microsoft Office and modern workplace tools, and you’re comfortable using project management software to keep work moving.
You bring exceptional organization, time management, prioritization, and follow-through, paired with strong written and verbal communication. You’re detail-oriented, solution-focused, and exercise sound judgment, including a proven ability to handle confidential information with discretion.
