Job Description

About Denimrush Experience

Denimrush Experience is an experiential marketing agency that brings brands to life through custom merchandise, PR mailers, packaging, and immersive activations. We partner with leading beauty, fashion, lifestyle, and CPG brands to create unforgettable physical experiences. We’re a fast-growing, creative company where no two days look the same.

About the Role

We’re looking for an exceptionally organized, proactive, and resourceful Executive Assistant to work directly with our Founder & CEO. This is far more than a traditional admin role. You’ll be the operational right hand to the CEO, keeping priorities organized, managing communications, coordinating projects, and ensuring nothing falls through the cracks. The ideal candidate anticipates needs before they arise and thrives in a fast-paced entrepreneurial environment.

Responsibilities

Email & Communications

  • Own the CEO’s inbox as a first priority each morning: review, organize, prioritize, and flag urgent items from clients, vendors, and partners
  • Maintain inbox throughout the day with regular check-ins; draft responses for review and approval
  • Build and maintain a labeling and filing system; track outstanding follow-ups and approvals

Executive Support

  • Manage a dynamic calendar across multiple time zones
  • Coordinate internal and client meetings, book domestic and international travel, and handle expense reporting
  • Prepare meeting agendas, notes, and follow-up action items

Project Management

  • Track multiple active client projects simultaneously with detailed timelines and workback schedules
  • Coordinate across design, production, fulfillment, and warehouse teams to keep deliverables on track
  • Proactively identify and surface roadblocks before they become issues

Client Communication

  • Draft polished client-facing emails and communications
  • Assist in preparing proposals, pricing documents, and presentations
  • Organize client assets, approvals, and project documentation; ensure clients receive timely updates

Operations

  • Coordinate with the COO, warehouses, manufacturers, and vendors; track production schedules and shipments
  • Organize contracts, invoices, and internal documentation
  • Maintain and improve internal SOPs and assist with onboarding new clients and vendors

Personal Support

  • Manage occasional personal scheduling, travel logistics, and miscellaneous tasks as needed

Qualifications

  • 3+ years supporting an executive, founder, or senior leadership team
  • Exceptional organizational, time management, and written communication skills
  • Highly proactive, detail-oriented, and able to manage competing priorities with minimal oversight
  • Professional, trustworthy, and discreet with confidential information
  • Comfortable in a fast-paced, startup environment

Preferred Experience

  • Google Workspace, Microsoft Office Suite, Slack
  • Asana, Monday.com, ClickUp, or similar project management tools
  • Background in marketing, experiential, events, manufacturing, or logistics strongly preferred
  • Figma is a plus

What Success Looks Like

  • The CEO’s inbox and calendar run efficiently with minimal oversight
  • Projects stay on schedule through proactive follow-up with internal teams and clients
  • You become a trusted point of contact for both internal and external communications
  • You anticipate needs, solve problems independently, and consistently bring order to a fast-moving environment

Why Join DRE

You’ll work directly alongside the founder of a rapidly growing experiential agency, with firsthand exposure to brand strategy, client management, manufacturing, operations, and business growth. For someone who wants to grow into an operations, project management, or leadership role, this is the opportunity to do exactly that.
