About the Company

Stellar Property Group LLC is a real estate investment and acquisitions company focused on identifying, evaluating, and acquiring commercial and multifamily properties.

We are looking for a hands-on AI Systems & Automation Manager to help us build and implement AI-powered systems across our acquisitions, lead generation, underwriting, outreach, and internal operations.

This is not a research-only or strategy-only position. We need someone who can understand our current workflow, recommend the right tools, build the systems, connect the platforms, train our team, and continuously improve the technology.

Responsibilities

• Analyze our current acquisitions and operational workflows
• Identify areas where AI and automation can save time, reduce manual work, and improve results
• Build automated systems for real estate lead generation and property research
• Improve owner, broker, and prospect outreach using AI-assisted email, calling, and follow-up systems
• Automate data collection from property records, broker listings, public databases, and internal sources
• Build AI-assisted underwriting, deal screening, and investment-summary tools
• Create automated CRM workflows, lead scoring, reminders, follow-ups, and reporting
• Connect systems through APIs, Zapier, Make, n8n, or similar platforms
• Implement AI tools for email management, document analysis, market research, and data entry
• Build internal dashboards and reporting systems for acquisition activity
• Organize company data so it can be searched and analyzed using AI
• Train employees on the systems and create clear operating procedures
• Monitor performance, troubleshoot problems, and continuously improve the automations

• Automated underwriting and financial-analysis tools

• CRM automation and lead prioritization
• AI-generated acquisition summaries and investment memos
• Automated document review for rent rolls, operating statements, leases, offering memorandums, and contracts
• Internal AI assistant trained on company information and processes
• Employee productivity and accountability dashboards

Qualifications

• Proven experience implementing AI, automation, or systems integration for a business
• Strong working knowledge of tools such as ChatGPT, Claude, Gemini, Zapier, Make, n8n, Airtable, HubSpot, Salesforce, Monday.com, or similar platforms
• Experience connecting software through APIs and webhooks
• Ability to build practical systems, not simply provide recommendations
• Strong understanding of CRM workflows, data management, and business-process automation
• Excellent problem-solving and communication skills
• Ability to work directly with company leadership and translate business needs into functioning systems
• Highly organized, dependable, and able to manage projects from concept through implementation

Preferred Experience

• Experience working with a real estate investment, acquisitions, brokerage, lending, or property-management company
• Familiarity with commercial or multifamily real estate underwriting
• Experience with real estate data platforms such as CoStar, Crexi, LoopNet, Reonomy, PropertyShark, BatchData, PropStream, or similar systems
• Experience building AI agents, custom GPTs, databases, dashboards, or internal knowledge systems
• Basic programming experience in Python, JavaScript, SQL, or related technologies

What Success Looks Like

Within the first several months, this person should be able to:

• Document our current systems and workflows
• Present a prioritized AI implementation plan
• Launch several functioning automations that save meaningful employee time
• Improve the speed and quality of lead generation and deal analysis
• Reduce repetitive administrative work
• Create systems that are easy for employees to use
• Measure and report the financial and operational impact of each implementation
