Job Description
Role overview:
We are a small, ambitious team delivering exceptional experiences in the premium events and catering space. As our Finance Assistant, you will be one of the key people keeping the business running smoothly behind the scenes — handling the core financial processes that everything else depends on.
This is a hands-on, varied role with genuine scope to grow. You will work closely with the Head of Finance and have visibility across the whole business from day one. We are also investing in modern finance tools and cloud-based systems, and we want someone who is genuinely excited by that — not just willing to adapt, but actively curious about how technology can make finance faster, smarter and more insightful.
Key Responsibilities:
Invoicing & Purchase Ledger
- Raise accurate sales invoices for clients and event bookings, and track payments through to receipt
- Process and code supplier invoices, maintaining an organised and up-to-date purchase ledger
- Chase overdue invoices and keep the aged debtors position current and clean
- Reconcile supplier statements and resolve any discrepancies promptly
Day-to-Day Finance Operations
- Perform regular bank reconciliations and flag any unexpected variances
- Process employee expenses in line with company policy
- Maintain accurate financial records and ensure the filing system (digital and physical) stays organised
- Assist with purchase order management and ensure costs are approved before being committed
Supporting the Head of Finance
- Help with month-end tasks including accruals, prepayments and basic reporting
- Assist in tracking budgets against actuals for individual events
- Be a reliable first point of contact for finance queries from colleagues and suppliers
- Support year-end preparation and external accountant liaison as required
Technology & Process
- Use cloud-based accounting software (e.g. Xero) confidently and help us get the most out of it
- Embrace new tools and automation where they improve accuracy or save time — and suggest them when you spot the opportunity
- Be open to using AI-assisted tools to streamline routine finance tasks
Who you are:
Essential
- Strong attention to detail — you take pride in getting things right first time
- Comfortable with numbers and confident in Excel or Google Sheets
- Organised and reliable, able to manage your own workload and meet deadlines
- A genuine interest in technology and a willingness to learn new systems quickly
- Good communicator — clear, professional and approachable with colleagues and suppliers alike
- 0–2 years of experience in a finance, accounts or bookkeeping role (internships and placements acceptable)
Nice to Have
- Experience with cloud accounting software such as Xero, QuickBooks or Sage
- Studying towards or interested in pursuing AAT, ACCA or CIMA
- Any exposure to the events, hospitality or creative industries
- Familiarity with AI tools or finance automation platforms
