Job Description

About HMR Transportation

HMR Transportation is a growing transportation company serving hotels, airlines, corporate partners, private clients, and major destinations throughout California.

We are seeking a polished, highly organized, and fully bilingual Executive Assistant to provide direct, high-level support to the CEO. This is a fast-paced, demanding, and highly visible corporate position requiring exceptional professionalism, discretion, flexibility, social intelligence, and follow-through.

The ideal candidate is a proactive executive-support professional who can anticipate needs, manage competing priorities, communicate confidently with people at every organizational level, and represent the CEO and HMR Transportation professionally.

Position Summary

The Bilingual Executive Assistant will act as the CEO’s primary administrative and organizational partner. This individual will manage complex scheduling, executive communications, meetings, travel, special projects, confidential information, and company follow-up.

This position requires someone who remains calm under pressure, thinks ahead, solves problems independently, and handles multiple urgent priorities without losing attention to detail.

The Executive Assistant must be fully fluent in English and Spanish, including professional speaking, reading, writing, translation, and business correspondence. Basic or conversational Spanish does not meet the requirements for this position.

Required Qualifications and Experience

  • Proven experience as an Executive Assistant, Senior Executive Assistant, or Personal Assistant directly supporting a president, CEO, company owner, or other C-suite executive in a fast-paced, high-demand environment.
  • Full professional fluency in English and Spanish, including speaking, reading, writing, proofreading, translating, and conducting business communications.
  • Exceptional organizational and time-management skills, with the ability to prioritize competing responsibilities and manage multiple projects simultaneously.
  • Demonstrated ability to anticipate an executive’s needs, respond to changing priorities, and complete urgent assignments under tight deadlines.
  • Strong technical proficiency with:
  • Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Google Workspace, including Gmail, Calendar, Docs, Sheets, and Drive.
  • QuickBooks for data entry, invoice processing, and basic bookkeeping support.
  • DocuSign and other electronic-signature platforms.
  • Zoom, Microsoft Teams, Google Meet, and other video-conferencing platforms.
  • Digital calendar, scheduling, file-sharing, and project-management systems.
  • Advanced experience managing complex executive calendars, including scheduling across departments, locations, and multiple time zones when necessary.
  • Excellent written communication skills in both English and Spanish, with the ability to draft, edit, proofread, and translate documents meticulously.
  • Strong typing and transcription skills, with exceptional accuracy and attention to detail.
  • Ability to take detailed meeting notes and accurately transcribe meetings, presentations, speeches, instructions, and executive communications under tight deadlines.
  • Demonstrated experience planning and executing corporate events, executive meetings, conferences, employee functions, and large business gatherings from conception through completion.
  • Strong corporate social skills, executive presence, emotional intelligence, and the ability to interact comfortably with employees, executives, clients, hotel partners, airline representatives, and vendors.
  • Effective collaboration skills and the ability to work professionally with internal teams at every level of the organization.
  • Knowledge of bookkeeping practices, including data entry, expense tracking, receipt organization, invoice processing, and basic financial recordkeeping.
  • Familiarity with office-management procedures, document-control practices, and confidential recordkeeping.
  • Proven ability to handle highly sensitive business, financial, personnel, and executive information with strict confidentiality and discretion.
  • Willingness and ability to travel for meetings, events, company visits, or other business needs.
  • Ability to maintain reasonable schedule flexibility for occasional early mornings, evenings, weekends, travel, or time-sensitive executive matters.
