Job Description
Executive Assistant
A well-funded, rapidly growing Series C AI Startup is seeking an experienced Executive Assistant to support a senior operating executive. This is a high-impact role for someone who can provide exceptional day-to-day executive support while also helping drive projects, improve team coordination, and bring structure to a fast-moving environment.
The ideal candidate is highly organized, proactive, and comfortable operating with significant independence. While the core responsibilities include calendar and travel management, the role also includes broader, “chief of staff–like” opportunities for someone who naturally identifies needs, solves problems, and helps the executive and broader team operate more effectively.
Responsibilities
- Manage a complex and frequently changing executive calendar, including prioritization, scheduling, and meeting preparation
- Coordinate domestic and international travel, including occasional travel across Europe and Asia
- Anticipate scheduling conflicts, logistical challenges, and competing priorities before they arise
- Support team coordination, operating rhythms, and cross-functional initiatives
- Own and drive select projects from planning through execution
- Create clear, structured materials that help the executive assess organizational needs, priorities, and decision points
- Improve processes and systems to increase the effectiveness of the executive and leadership team
- Partner closely with other Executive Assistants, Chiefs of Staff, and senior leaders across the organization
Qualifications
- 7+ years of experience supporting senior executives
- Experience in a startup, high-growth technology company, or similarly fast-moving environment strongly preferred
- Demonstrated ability to manage complex calendars and international travel
- Strong project management and organizational skills
- Excellent judgment, discretion, and written and verbal communication
- Highly proactive, resourceful, and comfortable working independently
- Able to move between detailed administrative execution and broader strategic or operational projects
- Comfortable accommodating international travel schedules when necessary
Location and Schedule
This role may be based in the company’s San Francisco or New York City office.
This is not a 24/7 position, though occasional flexibility outside standard business hours will be required to support international travel and time-zone differences.
- The role is focused entirely on business support and does not include personal-assistant responsibilities.
