Job Description

Hybrid Executive/Personal Assistant to Co-Founders at AI Company

A company recently founded by a successful serial entrepreneur is looking for an Executive/Personal Assistant to the Co-Founders. The duties are a blend of business and personal with occasionally visiting properties in Westchester and the Jersey Shore. The role will be in-office for the first 60 days and then hybrid going forward. During the months of September to May the principals travel so the role will be primarily remote during that period. They are looking for candidates who currently utilize AA tools in the workplace and who are interested in becoming expert at AI usage to automate workflows, etc. The current EA has been supporting the Founders for 13 years and is being promoted. The office is on 59th Street between Park and Lexington Avenues. The Founders are involved in philanthropy, ongoing charitable initiatives, donor relationships, and community engagement that require thoughtful coordination. Hands-on experience with Claude — including Claude Cowork — is important.

About the Job:

  • Maintain the busy calendar for both principals across business, personal, family, social, and travel commitments and manage priorities
  • Use AI tools and agentic workflows to automate as much of the role as practical while preserving quality, judgment, and confidentiality (will train)
  • Build and maintain systems for scheduling, reminders, drafting, follow-ups, travel planning, information retrieval, and recurring administrative work
  • Coordinate meetings, personal appointments, reservations, and daily logistics for both principals, individually and jointly
  • Draft, edit, proofread, and manage emails, letters, and other written correspondence on behalf of both principals
  • Track follow-ups, reminders, and action items so nothing is missed across business and personal domains
  • Prepare agendas, briefing notes, summaries, and other support materials as needed
  • Build strong working relationships with advisors, household contacts, vendors, family contacts, and other key external parties
  • Manage payroll processing and coordination with the principals’ accountants for household and personal staff of 5 (will train). The current EA might continue handling this)
  • Track and reconcile household and personal expenses
  • Coordinate across three or more properties: manage schedules with property managers, household vendors, service providers, and maintenance contacts
  • Coordinate contracts, invoices, and payments for vendors, service providers, and recurring household expenses
  • Protect the principals’ digital privacy and information security — discreet handling of devices, accounts, passwords, and sensitive data, online and off
  • Coordinate family logistics including important dates, celebrations, gifting, appointments, and extended-family obligations as needed
  • Manage purchases, deliveries, returns, household scheduling, and special requests
  • Some off-hour availability required (Principals are respectful of other’s time)

About You:

  • Minimum of 7 years of experience supporting a CEO
  • BA/BS from a college or university
  • Hands-on experience with Claude — including Claude Cowork — is important.
  • A genuine appetite to keep learning. You adopt new AI tools quickly and independently, and you want to push this role further than it is today.
  • Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
  • Driver’s license and/or owning a car a plus
  • Strong communication skills: written and verbal
  • Strategic thinker
  • Understand the importance of confidentiality and trust when supporting a CEO
  • Dynamic and proactive comfortable in a fast-paced environment.
  • Polished, professional demeanor and the gravitas to interact with high-level executives
  • Outstanding communication skills
