Job Description

Executive Operations & Personal Assistant to the CEO

Location: Hamilton, Ohio
Employment Type: Full-Time

About Us

ConexTalk is one of the Midwest’s fastest-growing shipping container companies, specializing in container sales, rentals, modifications, depot services, and transportation. We are part of VSS Industries, a growing family of businesses that includes trucking, equipment financing, and real estate investments.

Our CEO is actively involved in strategic planning, business development, operations, community leadership, and multiple organizations. As our companies continue to grow, we’re looking for an exceptional individual to become the CEO’s trusted right hand.

This is not a traditional administrative assistant position. This is an opportunity to become one of the most important people in the organization.

About the Role

The Executive Operations & Personal Assistant serves as the CEO’s central point of coordination for both business and personal responsibilities.

Your mission is simple:

Protect the CEO’s time. Eliminate unnecessary tasks. Keep important projects moving. Solve problems before they become emergencies. No two days will ever be the same. One morning you may be coordinating a meeting with business partners. That afternoon you might be arranging a repair at a rental property, organizing travel, ordering equipment, helping prepare board meeting materials, or making sure groceries are delivered before the CEO gets home.

If you love organization, enjoy solving problems, and find satisfaction in making complicated lives run smoothly, you’ll thrive here.

What You’ll Do
Executive Support

  • Manage the CEO’s calendar and daily priorities
  • Keep major projects moving
  • Prepare documents, presentations, and correspondence
  • Organize contracts and important records
  • Screen calls and emails
  • Track deadlines and follow up on delegated tasks
  • Keep projects moving without constant direction
  • Maintain task list

Business Operations

  • Coordinate vendors and suppliers
  • Obtain pricing and quotes
  • Assist with purchasing and procurement
  • Work with department managers to track ongoing projects
  • Maintain confidential business information
  • Research products, services, and solutions
  • Help organize company events and meetings

Personal & Household Management

  • Manage and schedule household vendors and contractors
  • Order groceries and other household supplies
  • Manage personal appointments and reminders

Rental Property Management

  • Schedule repairs and maintenance
  • Organize invoices and documentation

Community & Volunteer Support

  • Assist with Board of Director activities
  • Manage volunteer schedules and deadlines

What Success Looks Like

  • Anticipate needs before being asked.
  • Think several steps ahead.
  • Handle confidential information with professionalism.
  • Bring order to chaos.
  • Follow through without reminders.
  • Communicate clearly and professionally.
  • Build systems that make everything run more efficiently.
  • Free the CEO to focus on growing the business rather than managing day-to-day logistics.

Qualifications

We’re far more interested in the right person than the perfect resume. Ideal candidates will have:

  • 5+ years of executive assistant, operations, office management, project coordination, or similar experience
  • Exceptional organizational skills
  • Outstanding written and verbal communication
  • Excellent judgment and discretion
  • Strong attention to detail
  • Ability to manage multiple priorities simultaneously
  • Confidence working independently
  • Professional demeanor
  • High level of integrity and confidentiality
  • Strong computer skills including Microsoft Office and Google Workspace

Experience with project management software, QuickBooks, HubSpot, Canva, or AI tools such as ChatGPT is a plus. Note, the CEO views AI as a powerful tool, not a replacement for human capability in this role.

Pay: $50,158.62 - $60,406.08 per year

Benefits:

  • Dental insurance
  • Health insurance
  • Paid time off

Work Location: In person
