Job Description
Position Overview
Our accounting firm is looking for an exceptional Executive Assistant to serve as the trusted right hand to the Owner. This position exists for one primary reason: to remove day to day operational burdens from the Owner’s plate so they can focus on growing the business, serving clients, and solving high level challenges.
This is not a traditional administrative role. We are looking for someone who takes ownership, anticipates needs, solves problems independently, and ensures that important tasks are handled without constant oversight. The ideal candidate is highly organized, resourceful, and capable of managing the countless moving pieces that keep a busy professional services firm running efficiently.
Responsibilities
- Manage the Owner’s calendar, meetings, and daily priorities.
- Screen and respond to emails, phone calls, and other communications.
- Coordinate with clients, vendors, and team members to ensure timely follow up.
- Organize projects and track deadlines to ensure nothing falls through the cracks.
- Handle administrative and operational tasks that do not require the Owner’s direct involvement.
- Manage travel arrangements, and scheduling.
- Maintain organized records and confidential files.
- Assist with special projects and follow through to completion.
- Serve as a gatekeeper by protecting the Owner’s time and ensuring their attention is directed toward the highest value priorities.
- Take initiative to solve problems before they become issues.
Qualifications
- 3+ years supporting an executive, business owner, or senior leader.
- Outstanding organizational and time management skills.
- Excellent written and verbal communication.
- Ability to prioritize independently and manage multiple responsibilities simultaneously.
- Strong critical thinking and problem solving abilities.
- High level of professionalism, discretion, and confidentiality.
- Proficiency with Microsoft Office, Google Workspace, and common business software.
- Experience in an accounting, financial, or professional services environment is preferred but not required.
The Ideal Candidate
The successful candidate is someone who:
- Thinks several steps ahead.
- Notices what needs to be done without being asked.
- Can make sound decisions and exercise good judgment.
- Takes ownership of responsibilities from start to finish.
- Is dependable, detail oriented, and highly organized.
- Communicates clearly and professionally.
- Enjoys creating structure, improving processes, and helping others succeed.
- Understands that the goal is not simply to complete tasks, but to make the Owner’s day more productive and efficient.
Why This Role Matters
Your success will be measured by how effectively you create time and mental bandwidth for the Owner to focus on strategic initiatives, client relationships, and growing the firm. By taking ownership of daily operations and administrative responsibilities, you will play a critical role in the firm’s continued success.
