Primary Focus:

Zoho CRM, automation, AI tools, website, email systems and digital operations 

Secondary Focus:

Social media management, blogs, SEO and future marketing campaign support 

Role Mission

To build, maintain and continuously improve the digital systems that allow to operate faster, reduce manual work, improve lead conversion, strengthen compliance and deliver better customer experiences. 

This Role Owns

• Zoho Bigin and Zoho Flow improvements
• AI automation projects
• Website and landing page reliability
• Email deliverability and DNS configuration
• Digital content publishing
• System documentation and process improvement
• Digital dashboards and reporting

Key Responsibilities

CRM & Automation

• Manage and improve Zoho Bigin CRM
• Build and maintain Zoho Flow automations
• Automate sales, operations and after-sales workflows
• Integrate Zoho Forms, Writer, Sign and Books
• Create dashboards and management reports

AI & Business Automation

• Implement AI lead qualification
• Build AI customer support and knowledge base tools
• Support AI quotation and document generation systems
• Research and recommend new AI tools
• Use ChatGPT/OpenAI and automation platforms to improve productivity

Website & Digital Systems

• Fix website issues and bugs
• Maintain WordPress/PHP website areas
• Create landing pages and publish blogs
• Improve speed, security and SEO
• Manage hosting, SSL, DNS and forms

Email & IT Systems

• Resolve Outlook/Microsoft 365 or Google Workspace issues
• Manage SPF, DKIM, DMARC and DNS records
• Improve email deliverability
• Troubleshoot domain and system access issues

Social Media & Digital Marketing Support

• Schedule posts across Facebook, Instagram, LinkedIn and Google Business Profile
• Publish project photos and blogs
• Support SEO, Google Analytics, Meta Pixel and Tag Manager
• Gradually assist with Meta Ads and Google Ads campaign management

Ideal Candidate Profile

Essential Skills

• Minimum 3+ years’ experience in a similar digital operations, automation or technical marketing role.
• Strong experience with Zoho products, especially Bigin, CRM, Flow, Forms, Books or Creator
• Proven ability to design and implement AI-driven automation systems
• Experience managing SEO, Meta Ads and Google Ads campaigns
• WordPress experience and basic PHP knowledge
• Website troubleshooting, DNS management and email deliverability experience
• Microsoft 365 or Google Workspace experience
• Excellent written and spoken English
• Ability to work independently during Australian business hours

Highly Desirable Skills

• OpenAI, ChatGPT, Claude, Gemini, Zapier, Make, n8n
• API integrations, Python scripting, JavaScript, HTML/CSS
• Google Analytics, Google Tag Manager and Search Console
• Meta Business Suite, Canva and LinkedIn marketing
• Experience with Australian SMEs, Melbourne/Victorian businesses, construction, trades, renewable  energy or compliance industries
